Activities Created by Users Moving Between Business Units

I work for a bank and we have tellers who work in multiple branches. Here is the problem that I'm running into...

  • User 1 works at Branch A and they'll capture activities under that branch.
  • User 1 happens to be a floater so they work for Branch A for some days and Branch B for others.
  • We have a "Branch A" and "Branch B" business unit set up in CRM 2016 so I'm notified when User 1 works at Branch A and Branch B and update their profile to reflect this.
  • The problem is when the manager at Branch A runs their activity report they are also seeing the activities that User 1 created while working at Branch B.
  • I am aware of what happens to all records created by User 1 and when their BU is updated but is there a way to isolate the activities that are created between Branch A and Branch B?

    You have an interesting scenario, please see if any of the following options could work for you

    01. You could consider only giving Activity Read and even other activity permissions at Business Unit level

    02. You could also consider updating the manager's reports to filter records only to their business Unit. Every record created CRM (including Activity Pointer) has an OwningBusinessUnit lookup set so I don't see why we can't filter by BU.

    03. If the number of users is not that many, you could consider having a disabled User on both BUs to represent this floating user. Reasons for it being a disabled user is to reduce the license cost but if you do not have license issue, you can have a common user like  Branch A User or Branch B User, and then  when User A  is switched to Branch B from Branch A, you can use the Re-Assign all records feature to assign all to the user in Branch A common user. And you could do that same when they switch from B to A. This is not an ideal solution but its a workaround worth considering.

    There are other options as well, but let me know if any of the above three is close to what you are looking for. If not, I might be able to try and see if I can think of any other options.
