Reporting Services Reports - Are we too BIG?

Posted on by Microsoft Employee

We are recent to the GP community (we celebrated our first year a month ago).  Just recently, our Microsoft Partner got around to turning on our Reporting Services Reports.  Problem is, they don't work properly.  They are extremely slow, sluggish in response, and controls like drop down boxes (such as GL account selection) don't sort the listed items.

I did run a report using the first item in a drop down list to see if it would actually produce a report.  It did after a very long time (we ran a simple trial balance).  When I exported to excel.  Currency items were transferred as text!

Our Microsoft partner states these canned reports were not designed for companies of our size - stating that because we have 30,000 GL accounts [we have 70 stores and 70 dealers] we need to rewrite almost every one of these canned reports to make them function.  We do about 300,000 transactions per month - all modules.

What I am looking for is to verify the claims of our Microsoft partner.  Do the canned reports frequently not work (functionally) for new users?  Does having 30,000 GL accounts cause problems with this system?

RE: Reporting Services Reports - Are we too BIG?

    Hi J. Hartmann,

All the previous replies have valid points and it is likely that your SSRS server is badly configured.. SSRS can handle that type of load, which has nothing exceptionnal.

However, to get to the point of data efficiency and indexing of certain tables, you may want to look in the GP's Analysis Cubes add-on that you can install from the DVD.. They do require you to setup SSAS, but this allows you to pull various data from GP in a way more efficient manner than sourcing the data straight out from the company tables, espcially with large queries..

    Hope this helps.

Congrats on your first anniversary. I am with Tim W and Kerry. SSRS is truly an under hyped tool that has bailed me out several times. Notably recently when I had to come up with a combined TB Detail Report spanning 35+ entities (please note we are still on GP 2010 SP1) and encompassing more than a million rows.

    Good luck

I would agree with Tim and add SSRS is definitely not the problem  We use it to process very large data sets from GP and even larger from SalesForce and Kronos.  If the report is created correctly and servers sized and configured properly you will be very happy with results.  To be honest I have had zero success with any of the canned reports but I give up pretty easy and just start from scratch so I can truly understand.

RE: Reporting Services Reports - Are we too BIG?

    Welcome!

    Background:

GP covers such a wide range of companies, from 3/4 people in a small biz -> 300 users all inputting data all day (more unusual end of the scale), and everything between.

I would agree that you are on the upper tier of installation with those transaction volumes. Although this in itself is not an issue for GP, your partner is correct, there is a need to put more effort into reporting to get the performance you need.

You can even go as far as we did with pulling information out into a data warehouse (over grand term for it, pulled into another database) for ease of reporting. Get your database configuration checked over, so often databases are not having daily and weekly index, and other maintenance done on them. Also get the database checked to ensure it has heaps of memory and fast disks on a good server. Big data sets need care and attention to get performance. This is a large subject area in itself.

I suspect you may need to verify your reporting services setup too to ensure the reporting services server is beefy, with lots of memory and is a dedicated server scaled correctly for you. Bigger reporting needs leads to appropriate dedicated hardware to run them on. We run all our customer facing reporting from RS but use Business Intelligence tools for other reporting as they provide much better user experience, performance and insights into the business.

I could go on and on about these subjects, but I'll halt there. Go back to your partner and work with them to improve things.

    Tim
