Journal Entry Number jumps back from 134,000 to 11,000 and AP batch stuck posting in Purchasing

I have 2 questions:

1) This has happened in a few occasions where our journal entry number jumps back all the way from 2 years ago. For example yesterday we were at 134,000 and now we're at 12,000 journal entry number. This happened the first time 2 years ago and maybe 5 times since then. The journal entry numbers were supposedly to have been voided. Unfortunately, we processed a batch that had multiple journal entry numbers and that batch picked up the said voided entries. We didn't realize it at that time and posted the whole entire batch which had the supposedly old voided journal entry transactions. Since then every time the system resets the sequence we would have our IT resets it back to where it needs to be. However, he's concerned this is not the best thing to do. Any reason why it would do that or do you have any fix for this?

2) Our AP person has been experiencing her AP batches being stuck in the Purchasing posting cycle. Typically what our IT does is reset the batch to "available" and re-attempt to repost the batch. Any reason why this happens.

Thank you so much for your help.

Mary Anne

Mahmoud's response to the AP Batch issue is spot on.  Here is a short list of things IT can check to address this issue - I have seen all of these issues at various points in my career: 1. Dirty Power - not every outlet delivers a consistent source of electricity to machines plugged into it.   www.emersonnetworkpower.com/.../WhatCausesDirtyPower.aspx

    2. NIC failures / bad drivers.

    3. Network cable problems.

As for the journal entry number being changed randomly, I would say that this is a common issue that I have witnessed not only with General Ledger, but with module document numbers as well such as purchasing, manufacturing ..etc. The explanation is not quite short, so I would include Mariano Gomez article for a thorough and comprehensive explanation. This is a pure technical explanation which can be well understood and fixed by you IT   Why does my next document number change randomly?

As for the second issue, it is quite common as well and the reasons can be too many. Throughout the posting process, Dynamics GP controls the records being posted (which are technically being transferred from saved to work tables) by several status to manage the posting process such as (marked for posting status, printing, posting ...etc). If any abnormal thing occurs such as network glitch, electricity cut ...etc, which can be generally categorized as (Posting Interrupting), Dynamics GP leaves the batch being posted in a safe place in order to prevent data corruption. The common resolution to this issue is either to go to "Batch Recovery" if the damage was well handled by the system or to go and do the updates being applied by your IT currently in case the interruption was not well handled by the system. Therefore, check your infrastructure as the most possible reason for this issue.
