If you use RMS to accept Credit Cards-MUST READ

We have found that RMS is tagging a small percentage of Swiped transactions as Manually entered transactions! This can be found in the visanetauthorization table in administrator under RequestAccountDataSource. If it is a D then it is tagged as swiped and T is tagged as Manually Keyed. We have provided Microsoft with the surveillance video of customers swiping their credit cards and yet the table shows T. Now this error is around 1 percent of transactions...but naturally we are being charged a different rate by the processor. We were alerted to the issue when we received a chargeback and we lost the case because it was tagged as a manual transaction. We do not accept manual entry, so it easy for us to see the problem as any T would be an error. Microsoft says they cannot duplicate the problem and has dropped any support on the issue since last year.  Our Microsoft partner has charged us for many hours and has found no solution or reason as to why this is happening. I am wondering if the problem is just with me or is my suspicion that everyone who uses the internal software have this same bug. This issue has been ongoing at the same rate through all hotfixes and we are currently on 2.0.0126 and use ingenicos with electronic capture. Mercury Payment is the processor and have no ideas. We have over 8 registers and the issue affects all of them.  The Manual flags pop up usually on a daily basis while we see upwards of 200 total CC transactions per day...but the T's can sometimes skip for a few days...and then we can see up to 3 or 4 in a day.  It is extremely volatile and there is no pattern we can see.
 
Business owners: Please make note of all your manual transactions and run the query the next day. See if you have more manual entries in the visanetauthorization table(T's) than actual manual transactions. Each transaction costs you more and you will automatically lose any chrageback if you did not make an imprint of the card at the time of the swipe.
 
Also, we have attempted to duplicate the problem (Meaning try to cause a manual Tag after a swipe read in the CC transaction window) but to no avail....such as swiping the card and then tabbing around the fields....or typing a number in the CC number field(as a cashier might accidentally hit the wrong key) and removing it....etc

    I have posted several times on this issue in the past. No response from MS.

    We were able to almost eliminate the problem by training cashiers, since we found all 'manual' transactions resulted from a swipe where RMS does give a warning, but if the cashier hits OK, it processes. It is detailed in the thread at the link above.

    Thanks for the response, I have just reviewed security video on registers and found that NO warning box arrives. The system responds just the same for the "manual" transactions as the swiped ones. I was very excited to read that a warning of "invalid Card number" was visual on the screen for the cashier....but the video of these transactions verify NO such warning. Sorry for the downer.

    We got worried when we saw this so we had a few customers review their security footage for these transaction.  We could not find a single instance of the manual transaction type that was not hand-keyed by the cashier.  Just wanted to add our findings.

    I would think the Retail Realm/Mercury processing software module would correct this - it's available for free if you renew your BRAP through them.

    We found the same as Ryan did back in 2010.  Also with most processors, one can look online and see any manual entry cards.

    Mike, actually the Merc/RR software wouldn't fix this if it were an issue.  Also, the Merc/RR software is free if you sign up with Mercury Payments to do one's credit card processing and agree to buy/rent the Magtek iPAD device.  They are also in beta with a different device too using RR's software.

    Oh, so you have tried it with the RR SW and it still happens?

    Yeah they already said they were using Mercury, but with Ingenicos, so they are not using the RR/Mercury SW. The Magteks are cheap, and we have a few customers with problems with the Ingenicos lately - how about you?

    I'm not sure who/what you are referring to.

    I posted that along with Ryan from RITE, we've never seen a confirmed instance where RMS says it was a manual entry when it was swiped.

    What I also said was that the RR software couldn't fix the issue if there wasn't a problem.  The RR software was written to use the iPAD device where the keys must be pressed on the iPAD device for a manual entry and there is no info stored in RMS about it.

    If you are referring to the Mercury software that provides the link to their backend thru RMS, it was not written by RR, but was designed and was developed in-house from I've been told, quite a while ago. Natively one cannot install it on a 64b machine, for example.
