Custom Lookup View Help

Hi All,


Bit stuck here, and relatively new to Dynamics CRM 2015.

When setting up our CRM, I used a custom field as our unique identifier instead of topic. Now I've noticed that in the outlook plugin, Topic is a required field on the Opportunity Lookup View, which means users are unable to use the search function for opportunities because the topic field is always empty.

Is it possible to use a custom default view other than "Opportunity Lookup View" in the lookup record window in outlook and if so, how would I create one?

    One thing you could do is set up a workflow that populates the topic field with whatever is within your custom field. You can then hide Topic from the form.

    This way you will have the correct data for pairing.

    There are most likely other things you could do, but this seems like a viable option.

    I would suggest populating the topic field by copying value from your custom field using workflow. This will resolve your problem every where. In order to bulk update topic field create on-demand workflow that populates the topic field by setting your custom field value and run this workflow on all opportunity. This is fairly easy to do and also make the custom workflow to run on onchange of your custom field that way whenever custom field value changes it updates the topic field as well.

    Thank you for your reply, whilst this does create an ability to search via topic which would be a unique number it doesn't allow searching via name which is effectively what I want to create. The users could search for a custom field such as "Last Name", currently you can only search the topic column which is irritating.

    Hi David,

    I don't use the Outlook client, but have you tried adding your desired search column to the Quick Find view? I know if you do this and you're using the browser, it makes the field searchable in the quick find view.

    Edit the standard "Opportunity Lookup View" and add the First Name / Last Name columns. Alternatively create your own unique view.

    From what i can see when you select 'Set Regarding' in the Outlook Client you have the ability to select a view.

    If you go for a workflow, remember to create one On-Demand (manual) workflow to update all current records and another background workflow that will update all records from this point onward (as Chitrarasan mentioned)
