Power Automate: Notification for new note

Hi everyone,
 
I would like to create an automated email notification when a new note in business central is created. This is mostly relevant for tasks, sales orders, and service orders, where for example the manufacturing department leaves a note for the sales agent in a sales order. The sales agent should then receive an email notification so that he or she can react quickly. Ideally, the email should only be sent if the user who created the note, is not the user to whom the task, sales order, or service order is assigned to. I have been trying to create such a flow in Power Automate, but I could not figure out how to select notes as new data set that is created. What should I do?

    What you're trying to achieve is definitely possible with Power Automate, though it involves a few specific steps to monitor new notes in Business Central and send conditional notifications.

    Here’s a suggested approach:

    1. Trigger the flow: Use the Business Central connector with the trigger “When a record is created.” Make sure it’s configured to monitor the table that stores notes (often related to “Record Comments” or similar, depending on your setup).

    2. Add a condition: Include a condition in the flow to check whether the user who created the note is different from the user assigned to the task, sales order, or service order. You can retrieve the assigned user by using a “Get record” action.

    3. Send email notification: If the condition is met, use the “Send an email (V2)” action to notify the assigned user. You can customize the email to include the note content and a direct link to the record in Business Central.

    If you're having trouble identifying the correct table or configuring the trigger, I recommend exploring the Business Central API to see which entities expose comments or notes.

    Somehow, I cannot select the record link table, see attached. Do I have to activate this table for Power Automate or similar?
