Document Attachment security permissions

We are working with a customer upgrading from GP2010 to GP2013.  They have a lot of custom roles for their users in Security.  They are wondering how to add a task or security permissions to allow the Document Attachment feature to allow users to view and/or attach documents to Items, Customer, Vendors.  And also to flow down to PO's and SOP documents.

Even when they assign the OOB roles, like 'Accounting Manager', that is still not granting the user permissions to use the Document Attachment features.  The only role that can access it successfully is 'Power User'.

Can you please give us some hints or tips on how to go about granting access?

Thanks,
Carol Livingston

You can use  'DEFAULTUSER' security task ID for your requirement.

In addition to DEFAULT USER, 'ADMIN_COMPANY_001*' security task ID will provide permission to Doc Attach feature setup window along with other company setup windows.

    Hope this helps.

You should also apply SP2 of 2013.  This component allows documents attached to customers and/or items to flow to sales orders and documents attached to vendors and/or items to flow to POs

Our new version of the MS Dynamics GP Power User documents these new features!

I would like to add up to the valuable suggestions above that attaching documents in Dynamics GP across cards windows still require the access of that specific window. For instance, if you want to grant a user an access to attach documents to items, he/she should be granted an access on the Item Maintenance window itself.

As for the flow of attachments, it can be managed from the setup as Mr. Richard has mentioned.

    Hi Naga,

Thank you for your reply.  They are upgrading to SP2 and would like to use the features on the Card as well as on the transactions.  However, their security does not allow them to see or attach anything in the Card window.  They don't need to do setup.  So the Admin_Company_001 tasks is not necessary if they are not doing setup.

Are you saying that the window is a window in the Alternate Forms/Reports window?  Which window is it? There must be something in that that is allowing the user to see the paperclip for the document attachment.  So far, only the Poweruser security role can see the paperclip.

    Please advise.

    Thanks

Yes, one of my favorite new features of SP2 is the "Flow" attachment from the Card to the Transaction.  What I am stumped with is why the user cannot see the paperclip in either window unless they are PowerUser.  Even the OOB roles don't work.

    Hi Naga,

thank you for your answer.  Actually, the answer was the Security Task "DEFAULTUSER" did not have two operations checked in it. DEFAULTUSER security task that controls access to Document Attachment. Two operations (Document Attachment Inquiry and Document Attachment Management) were not selected.  Once we selected those two on the Security tasks window, the paperclip appears for users with this Security Task ID assigned to their role.  I don't know why the upgrade did not update their permissions.  But this was helpful.

To find the Security Task operations to be marked in the Security task window.   I had to open Product: MS Dynamics GP, Type: Windows and Series: Company.

    Thanks,

    Carol

I came across this thread while troubleshooting attachment management from the HR applicant window.  For anyone using HR, there are separate Document Attachment File Utility, Document Attachment Management, and Document Attachment Status Inquiry windows that must be granted access under Product Human Resources, Type Windows, Series 3rd Party.  They do not default to the HRDEFAULTUSER* task after upgrading.

    Thanks,
    Mike
