When a user leaves the company and will not be using CRM any longer. What is the best way to enable the person taking on their role to access the former employees' notes, contacts, activities, ect. I can use advanced find to search for the records which the former employee is owner and assign these to the new employee. Is there another preferred method?

Thank You.

Umm could export the records owned by that users and select "for reimport" make sure their user name is in the exported columns then change it to your new user and reimport.

    OR

create a on demand workflow that updates all the records to new_employee a when user = previous_employee

Thanks for the reply, you second suggestion is what I do now. I needed to check if there was some other method which I may not be aware of. Thank you for taking the time to reply.

There is a button in user record to reassign all the records from old user to new user. Say User A owns lot of records in the system and he is leaving the company and User B taking over the role of User A. In this case open System User A record and click on "Reassign Records" button where you can choose to which user you want to reassign all the records owned by user A.
