How to allow individual record sharing on Dynamics 365 Portal?

Posted on by 40

I've implemented Account/Contact security via Entity Permissions on our Dynamics 365 Portal, and though it works, now I find that Accounts want the ability to share specific, individual records with other Accounts.

I know it's trivial to Assign/Share Records within CRM itself, but does anyone have any ideas on how to implement similar functionality for a Dynamics 365 Portal application with custom entities? I'm hoping not to resort to plugins. I have a few ideas on how to do this, but I'd really like to get other opinions.

Any ideas?

    RE: How to allow individual record sharing on Dynamics 365 Portal?

    Thanks again for the response, Oliver. So I'm not sure I'm being clear on what I want to accomplish. maybe this illustration will help clarify:

    ==========

    Account Entity

    ==========

    Account A

    Account B

    ================

    Assessment Custom Entity

    ================

    Account A  Client 1 Demographic Data

    Account A  Client 2 Demographic Data <-- How do I allow Account B to access just this particular Account A record?

    Account A  Client 3 Demographic Data

    Will your solution accomplish the above? What changes do I need to make to the Assessment Custom Entity or Entity permissions to allow selective record "sharing" within Dynamics 365 Portal?

    Thanks again for your help!

    with the solution I told only the records within that relationship would be available.. it wouldn't be all records

    Oliver, thanks for the response! I've thought of your solution, but the issue with that is I don't want an account to have access to *all* records from another account, only *particular* records.

    Any other ideas?

    Thanks in advance.

    Hi.. although it is a similar concept, you are not exactly looking for assigning the records.. CRM assign works with Teams/Users.. while what you want exactly is sharing records between different contacts

    try the following solution

    - add a new relationship (if you don't already have) allowing a contact to have multiple accounts (it maybe better using a N:N relationship)

    - your entity permission needs to look at that relationship

    - now through the portal you can try to manipulate creating an entity form or a CRM Workflow that will create that relationship record

    did you get the idea behind it ?
