Quotes/Orders/Invoices - why not to use?

Dear all,

we are looking into the possibility to also use the Quote/offer/order entities in CRM (which we have not done before; we maintained the opportunities but managed all later steps in another ERP).

- why should we not use the build in capabilities in CRM? :-) I mean where is the limit?

- where can I find resources about These entities, providing a better overview and/or walkthrough?

- additional question (I was just doing a simple walk-through): isn't there any view where I can see from the account the products purchased? Seems to be a Basic request for me, but was not able to spot it.

Best & Thanks!

Another limitation you will find if you use CRM as a "simple ERP" has to do with payments; i´m guessing that after invoicing you want to know your customer debts (who has paid and who has not); any ERP will have these features built in but not MS CRM.

    Hi Aileen,

thanks again. Not sure if this affects, I think we give it a try and run a test with our requirements.

    Thanks, best

    Henri,

If those are not affecting your business, then you no need to extend it.

Basically, CRM is a platform, you can build many things from it.

You can create new custom entities also.

The limitation on this also, you cannot create 1:N from the Quote Product/Opportunity Product/Invoice Product/Order Product and also cannot create new field in the Product Price List Item.

    Is that affecting yours?

    Thanks.

    Thanks Aileen!

For the type of Business we are doing (pure Software and Services), not sure we would Need the missing parts you mentioned. Are you aware of any integrated extensions that would enhance the functionality?

    Nose,

The functionalities in CRM for those 3 entities are very simple, cannot compare to the ERP, such as AX, SAP or even Navision or SAP B1.

For example: You cannot track the stock movement, not with out of the box feature.

The status in those entities are not so strong, you cannot do a partial order then using the validation before you fulfil that.

Then, let's say for Quote product, you have 10 quantities for 1 line, but you need to send to 10 different places, you cannot do that, you need to split them into 10 lines because the address of shipping is based on product, not quantity and cannot be configured.

Then another one also, you cannot track the serial number, stock quantity in hand (has field, but no function), no warehouse movement, from HQ to branch, etc. No Purchase Order and also no GL Codes available.

Those entities are just having simple functionality for helping salesperson only converting Opportunity to Invoices, but better not related to any shipment or movement, there is also no BOM.

    Hope this helps.

    Thanks.

    Hi,

thanks for the reply. Maybe my first question was unclear: why not use Dynamics CRM as a simple ERP? :-) Since it has build in capabilities from an ERP system...

Are there people outside who use the ERP functionality as it as? Or any body can recommend a really good and flawless integration of another ERP system into Dynamics CRM?

Thanks for the links anyway and the hint with the Advanced find.

below post provides why crm is not used for order and invoice process

    http://www.crmswitch.com/crm-value/understanding-crm-erp/

Below link shows overview of the all the sales entities quote, opportunity and sales

    http://crmbook.powerobjects.com/basics/microsoft-dynamics-crm-sales-process/advanced-sales-processes/

You can see all the products bought by customer using advanced find to filter only Order line items that are belongs to the customer.

1.Choose order Products as entity and go to related records section and choose order  then choose customer = account name that will filter all the  order prodcuts placed by the customer.
