RealTime Workflos "The user who made changes to the record" Not Function CRM 2016

Hi Guys,

I have some issue regarding real-time workflow.

This happened when "Record is assigned" then update certain field in the same entity using real-time workflow.

After real-time workflow updated the field, entity "modified by" become SYSTEM who are not admin or any user that i had created.

After few round testing, i found that this only occurred in Account and Contact entity and also during assigned record to user follow by update using real-time workflow.

Please guide me on troubleshooting this issue. Thank You

    Hi @Nadeeja Bomiriya,

    My bad, i think i remember it wrongly already, this might be CRM real-time workflow behaviour.

    Run real-time workflow to update field during or after assign owner will cause modified by become SYSTEM.

    hi @Nadeeja Bomiriya,

    I had tested :

    Execute as :-

    1. The owner of the workflow , modified by will change to CRM Service (administrator) who are worklow creator.

    2. The user who made changes to the record, modified by will change to SYSTEM, do not care who is the login user.

    I not sure if this issue only happen on this organization, because i create new organization in the same server did not faced the same issue.

    My theory is this.  When you are changing the ownership of a record, you can't really use "user before change" or "user after change" since you are trying to change the owner.  If you set the workflow to run as Owner of the workflow, I believe this will be marked as Modified by CRM Service.  Give it a go.  Since you have set to "Execute as - The user who made changes to the record", the workflow temporarily change the executing user to SYSTEM for that particular action (assign owner).

    You can test the theory by changing the workflow to run as Owner.

    And also adding a normal update step before and after the assign step while workflow is set to run as user who made changes to see the temporary switch.  Let us know how you go.

    This workflow is created by CRM Service (administrator) , and all the plugin and workflow are deactivated.

    Any idea on this issue ?

    System and Integration Users are hidden and automatically present in CRM.

    Hi, I deactivated all workflow related to contact and account already, and the above image is the real-time workflow which i new created in order to test for this issue.

    Is SYSTEM user is in disable status that unable to enable, is not created by us and which appear suddenly.

    Hi tan1990,

    In the workflow, click on the Administration tab, and check who's the owner of the workflow.  Since you have set the "Execute as - The user who made changes to the record", the record should be marked as modified by the logged in user.  Double check if there are any Plugins or any other workflows are running which updates this record.

    Please verify if there is any another workflow or Plugin on this entity. If not, You can deactivate this workflow and create another workflow or You can do it using Plugin.

    Which user it is opening when you click on "SYSTEM"? Try to find out the link b/w the entity, workflow and this User may give you some clue on what's happening ?
