Project Budgeting by Period

We are looking for an efficient way to adjust a task budget that uses the Budget Schedule by period.   We may set up a budget for a task that has a budget schedule wich could run out for 12 periods.  On a monthly basis projects are reviewed with the project Manager.  During the review we may find that the task has been postponed for two periods, which means we need to adjust the budget for those 12 periods.  Using Budget Revision to relace the budget, can be a daunting job.  plus when you create a revision, you do not have visibility of what was originally set up while your in the revision screen, which makes the data entry difficult.

Now, imagine 12 projects with 15 tasks each and having to update each of these budgets monthly.

Any feedback is appreciated.

    Hi Brian,

You can import budget revisions from an Excel file.  It might be quicker to set up the revisions to your budgets in an Excel file and use the import functionality.  The Help file has good information on this functionality.

However, using the Import function in Project Budget Revision doesn't go down to the Period budgeting level, which is where we are looking to set the budget values.

    Hi Brian,

You are correct.  Did you try the suggestions given in KB article 844648?

    Brian,

I sent my last update before I was finished.  In that screen, users have had varying success using transaction import. The results have been sporadic. I have had users tell me they were able to import into budget maintenance as a two step process, first by importing the budget, then by 'changing' the budget and importing a schedule, like an EAC schedule. However, in testing this, we have sometimes been able to get this to work, and other times have not.

One big difference is that if you create a control macro for budget maintenance, the fields in the PA.BSM.01 subform are included (but disabled) in the control macro, and the button press code for the original budget schedule (cmdBudget) and EAC schedule (cmdEAC) are included in the control macro. In the case of BU.BRM.00, if you generate a control macro for that screen, there is no button press code for the cmdBudget button, and there is no code for the objects in the BU.RVP.00 screen. I was able to create a control macro for screen BU.RVP.00, so I know what objects are in that sub screen, but there is no code for the button press.

If I was determined to try to get this to work, I would create a control macro for BU.BRM.00, create a control macro for BU.RVP.00, combine the two with an editor like notepad, add some button press code for cmdBudget, then see if I could possibly 'change' an existing budget revision to press the button and import the values into BU.RVP.00.

Before you spend time trying that though, I did find a new feature request asking that the ability to import budgets by period be added. There is no indication in that new feature request that this is currently possible, so I am going to assume that the TK document is correct and you cannot import into the BU.RVP.00 screen.

From what I can tell, we do not have a script on hand that will do this. From the customers who have tried, there have been mixed results.

I am experiencing the same pain... I need to be able to import project budgets by period... I can't believe no one else has needed this feature! Seems basic project management...

    Hi Carolyn

It has been a while since this was posted, but do you have a solution or CTL file I can use to get a Budget Schedule imported?

    Thanks

    James

Hi Carolyn - any word on this?

I'm still stuck on my end :(

    Hi James,

Did you look at KB article 929315?  There is a sample control macro you can download.

thanks for this Carolyn - i did find the article and downloaded the file. However i have tried it a number of times without success. I usually dont have any issues with import files, so this is strange for me..

Is there a process or step before the import that i need to have in place beforehand? i.e. do i need to import the main project budget before i import the budget schedule?

If so, I notice that the import does not cater for 'REVISION' code - so how exactly does the budget schedule import program know which revision to use.?

If you possibly have a sample CSV i can use, I would REALLY appreciate it!

    thanks a mil

    James

    Hi James,

I have a data file for PA.BSM.00 screen but haven't tested this in a while.  Is this the screen you want to IT into?
