Security Settings - Help

Posted on by 321

I have a couple of custom entities that users are accidentally writing over, adding to, or deleting. I've gone through their securities with a fine tooth comb and cannot figure out where I need to lock it down to keep this from happening. It's on a couple of entities but the most frustrating one is our Equipment Numbering entity. I have had to go through and clean it up a few times. Below are the security permissions.... any help you can offer would be valuable. Thank you!

    1) Do all the users have the same privileges, as far as you know? Or is it a specific group of users (not team, but I'm not sure if you set up business units)

    2) You said this is happening in other entities; do the same users/all users have the same privileges as well?

    3) Are you using Hierarchy security at all? Just in the off chance this is enabled and privileges are overriding the security roles.

Not a dumb question at all! Yes most of my users have multiple security roles (I'm working to clean this up soon) I have checked all of their roles. The screenshot above is from the role most of my users have, that is the least restrictive. Only a handful have more security privileges than these people. And only I have Administrative rights.

Sorry if this sounds like a dumb question, but do these users have multiple security roles? When they have multiple roles, the user has the least restrictive permissions. If they were accidentally assigned a role that had Read/Write/Delete/etc. permissions to the same entity (like System Admin), they will still have the capability.

We are not using teams, and it's not a question of access to the records. I'm trying to keep them from editing, or deleting the records that live in this entity. Both of which are happening.

  • RE: Security Settings - Help

Are the users having access to all records in the entity, or just certain records? Are the employees using sharing or access teams?

Hmmm... the only workflows regarding this entity just move the value from one field to another (from product to proposal) nothing that would change or update them. No plugins on this either.

Are there any workflows or plugins that might be updating that entity and that are configured to run under a sys admin account(or any other high-privileged account)?

    We do not use teams.

Is it possible users are part of a team which has access to do the things you're looking to avoid?
