Printing Account Numbers/Memos on Checks

Hello,

   We are trying to figure out if it is possible to print an account number/memo on a check to a vendor.  For example most utility companies require that an account/phone number be supplied on the check.  Having to manage accounts for several properties under one corporate entity causes for many misapplied payments.

 

My AP department has printed the information on the stubs, however the problems persist so this is why we are so determined to print directly on the check.

    Hi,

    On the Vendor Maintenance card there is a field for Account Number that can easily be added to the face of the check. If you have information that is printed on the stubs, simply use Report Writer to modify the check face.

    If you need more room than the Account Number, you can also use Comment 1 or Comment 2 for this - Account Number is 20 characters, while the Comments are 30 characters. 

    Also, I find that on most computer checks it's difficult to have a note on the bottom left, so I often put this in the top left corner of the check, above the company name and address.

    Leslie,

    I do not see the option on the vendor card to add the account number to the face of the check.  Is there something special that needs to be done to get that option added?

    As Leslie mentioned, you will need to add this field to your check form in Report Writer (this is GP's reporting tool).

    To access this, go to Microsoft Dynamics GP > Tools > Customize > Report Writer.  For your Product, select Microsoft Dynamics GP then click on reports.  The list on the left is all of the Original (unmodified GP reports), the list on the righ is all of the Modified Reports.  You may already be using a modified AP Check layout.  If not, find your format in the list on the left, highlight it, and click the Insert button.  Next, highlight the report in the Modified Report list and click Open then Layout to take you to the editor. You will want to add the "Account Number With Vendor" field from the PM Vendor Master File onto the report where needed.  After making the changes, close out of the windows and OK/save as necessary.  To get back to GP, go to File > Microsoft Dynamics GP.

    The next step is granting permission to the report under Administration > Setup > System > Alternate/Modified Forms and Reports.  Set ID = to "DEFAULTUSER" (assuming this is in use), Product = Microsoft Dynamics GP, Type = Reports.  Expand Purchasing to see your check form then expand this and select the Microsoft Dynamics GP (Modified) version and save out of this window and test your form in a test company prior to printing checks in production.

    Take a back-up of your form if you already have a "modified" version just in case!
