Dynamics 365 - Alert/Email when record not modified in [x] days

Greetings all,

So I need to generate a list and email said list to record owners where their contacts have not been modified in last 90 days and also copy the management staff on these emails.  They would likely be run either weekly or monthly.  The issue is, most of these record owners only interact with the records by means of the activity feed/timeline (mostly email {attached from Outlook}, or tasks, or notes).  These items do not change the "modified on" field.

I think I can create workflow(s) to relatively easily handle that part.  I think....(feel free to expand on this part as well)

But then, how would I generate an email that goes to a record owner with a list/table of records that have not been modified in [x] days

- Presumably this workflow/flow/??  will need to go respectively to each record owner with their own lists.

I appreciate any help you are willing to provide.

Thanks,

Jeff

Why not make it a dashboard in Dynamics and then just set up an email reminder to look at their "no touch dashboard" weekly?  That way, they're in Dynamics anyway.

And yes, making a custom date field of "last contact date" and then running a workflow on each activity type to update that field would be fairly straightforward.

    Hi Jeff

I actually have a managed solution you could download off github which should be able to meet your requirement without any coding

Basically the solution has a feature which can be configured to read a system/custom view on a schedule and if there are results in that view send an email to all owners of records in the view results with a list of records they own in the view results

You can download the managed solution at this link github.com/.../latest

I have also written an article detailing how the solution works which is at this link josephmcmac.wordpress.com/.../dynamics-365-workflow-scheduler

You scenario would be very similar to the Configuring a "View Notification Workflow" section in the article, the main differences being

    • You would configure the field named "View Notification Option" to "Email Owning Users" instead of "Email Queue"
    • You would be selecting View Notification Entity Type to contact instead of case/incident
    • You would create a view returning all active? contacts where the field you create is older than 89 days

Note you would need to create a queue with an approved email address for sending the emails

    Hope this helps
