Bulk change of owner and record update on filtered accounts

Hi there,

We have 92000 account records in our CRM Online system, and I need to update the owner of the records depending on other fields on the account. I also need to take the contents of one custom field, and insert into another custom field, before clearing the first field.

I can run an advanced find for up to 250 records, but that means I will still have to carry out the process over 350 times to get the entire dataset in shape.

Can anyone suggest a way of doing this without resorting to developers etc? I've scoured the web, and can't see to find anything..!!

    Tony,

    Create a workflow that does the assignment based on the criteria that you need and make the workflow fire upon changing a new field on the form, I.E. a check box.

    Create a view with all the accounts you need to change, this would be about 92,000. Add the new field as a condition to the view (I.E. if my checkbox does not contain data).

    Export the results to Excel making sure to leave the "Make my records available for re-import" check box checked.

    This will give you an Excel spreadsheet with at least 10,000 records that you can change at once. Change the checkbox or new field to 1 or Yes or whatever you need to trigger the workflow.

    Import all the results in. The workflow will run and update at least 10,000 records at a time.

    By changing the field you also make sure that those records will not show up on your view which now should have about 82,000 results.

    Repeat this process until you are done.

    This will reduce the amount of times to run the workflows from 350 to about 9 or 10 times.

    Additionally, you can use our free tool to increase the limit of records you can export to Excel from CRM Online, you can increase the limit from 10,000 up to 50,000 but I wouldn't recommend making a change to 50,000 at a time...I would probably increase it to 35,000 and that will reduce it from 350 times to 3 times.
