View and Manage attachments of an email message

The attachments against an email message is affecting the DB size and hence we are looking a feasible option to manage attachments? The user would like to view the attachment and its details when accessing the record at any point in time though within CRM or an easily accessible location (like SharePoint). Any suggestions on how best we can manage this in a CRM on-prem instance w/o impacting the DB size?

    Hi,

    I would suggest you to enable SharePoint integration in Dynamics. You can write a plugin to move the files to Documents (sharepoint folder) from Attachments.

    or, you can write a console application to move the files from Attachments to Documents if the files are older than x months.

    SharePoint is a good option, but I have also another solution -

    Yes Veena, with the help little bit of scripting, we can fetch and display attachment in Dynamic CRM.

    Hi Veena,

    We had developed a solution wherein the attachments from Emails and Notes would go into Azure Storage Blob and the links for the same are stored on the entity so that the user can access them anytime.

    Yes, Please can you please provide more details on the tool developed? We are looking at various option for document (email attachment) management solution. So far zeroed in on SP and Azure Bob. We have D365 on prem instance and the solution that we finalize on give minimal change from an user experience perspective and system storage impact.

    Sure the way we had developed this utility is that we have a workflow that processes email older than say (1 year) extracts the attachments and moves them to azure. And provides the azure link via the azure archive entity so that the same can be accessed. 

    Also, we had developed a custom desktop utility which we run one time (for bulk data migration) before we deployed this workflow. This utility is run only once to move the attachments were moved to azure in bulk else the workflow would have to process high number and would eventually timeout.

    Workflow then continuously moves the data on a daily basis.

    Thanks Nikhil. However as a user accessing the attachment within the email, how does the design look like? Will I still access the attachment within the email message? Also after utility runs to move the attachment to Azure, do I see the attachment in a different section of the email message?
