Document # field increment in Journal Entry ?

Posted on by Microsoft Employee

Hello -

When our users enter journal entries, we must manually change the NAV System assigned GJ Document Number to be something that the user knows is unique to them at that point in time of preparing the entry.

This must be done as I understand because any users starting a Journal entry will receive the same Document # assignment from NAV until the entry is posted.  The problem then is that if 5 people start a journal entry prior to the others submitting/posting, all 5 end up with the same document number.  Therefore the first one can successfully submit, but the next 4 cannot because of the duplicate document #.

Is there a configuration setting that can be changed to increment this field on submission versus when starting a new journal entry?

Thank you.

    Hi, usercs

you have two solutions for the problem

    1. Create Separate Batch for Each User & assign a Different Number Series for each user. (problem with that for your journal you will have multiple numbers)

    2. Create a Sperate "Posting Number Series". and attached to the all the user's batches so whatever the number user enter in the journal document no. is for temporary and once posted it will take a new number from the posting number series.

in this way, while creating you can have same number Series & even two users are having the same document no. the system will replace it with posting no series once it is posted.

    Thanks,

    Indika.

    Hi,

From NAV 2015 there is a "Renumber Document Numbers" action in the general journal that will handle this.  Before posting the user selects this action and this will resolve the document number sequence issues.

If you are running an older version try you could use manual document numbering such as "1", "2", "3", etc. while preparing the journal but have a posting no. series specified in the batch setup.  In other words, leave "No. Series" blank and select a "Posting No. Series".

    hi ,

document no will be handle by "No Serious " , but thereare no option to handle this issue  on posting

or if you ok , you can let the users to assign document no as manually

if its ok you can sort out the issue

I don't think there is configuration to assign the document no. during posting, you need to customize the posting routine to achieve that.
