AX2012 Travel & Expense: Approved Report Cannot Be Posted

Hello,

I have configured the Travel & Expense module within Microsoft Dynamics AX but have come across an intetresting situation.  In the case where an expense report comes in from the portal and is approved, but cannot be posted because the accounting period is not open, there seems to be no recourse except to let the expense report sit there indefinately.

The recall function does nothing but end the workflow.  Ideally, I would just delete these and ask the user to reenter using dates in an open period, but as you can see (image below)  there is no function to delete nor will the system allow edits.

Does anyone have any ideas on this?

    yes, this design issue was introduced in AX2012, since in 2009 the user still had the option to edit the journal date before testing.

    Probably the best approach is to build a custom process that changes all transaction dates on the expense report to a later date.

    Microsoft released a hotfix in order to provide a workaround.

    Hi Zvika,

    I'm not able to find that hotfix in LCS or following your link.  KB2852252 is for a seemingly different issue altogether.

    Anyone have any advice for this?

    Hi Patrick,

    That did the trick!  Thanks for the assist and post!  

    Installing the hotfix now so hopefully that offers the workaround.  Will put a smile on the faces in accounts :)

    Is it possible to edit the expense report after submitting the workflow?
    or
    How the approver can able to edit the expense report before approving?
    I want to edit the expense report before approving it.

    Hi,

    I just want to ask if is it possible to delete the expense report after it reached to approved status but not posted,  as our client has entered an expense report for testing purposes, and approved it, and now i have to delete it , is there any workaround to do this??

    If anyone has this issue it normally occurs during the crossover period when the module is closed but the ledger is still open (for the same period) for accountants to create the ledger closing entries. So you can either close the ledger so both the module and ledger are closed for the same period and it will post to the next open period OR open the module and it will post into the current period.
