Changing Filter in Search Field

When in the Accounts entity and selecting Inactive Accounts I put in a search name for Company ABC.  It showed there were no records.  I then searched my contact at that said company and when I opened his record I clicked on Company ABC and when the record opened it gave me the option to "activate" the account.  I was confused because when I searched it told me no records were found.

I came to realize that the search field automatically defaults to searching Active Accounts.

Similarly when I have My Active Accounts open and I use the search field to find Bob.  The result default pulls from All Active Accounts.

I had a phone call with my contact at Microsoft and he said he would do research on changing this customization and get back to me.

Anyone have a resolution?  Please advise.

    when you search for items in quick find it will also only search for active records.

    if you want to search for inactive records I would do an advanced find.  I don't think you would want to change this for all searches because you would be bringing back inactive accounts all the time and this would probably cause more problems in the long run

    Hi Victoria,

    When you use the search box in this way, CRM will always search using a special view named 'Quick Find' rather than use the filtering of the view that you have selected. So in your case, although you selected the 'Inactive' view - you are actually searching using the Quick Find view which only searches active records.

    You can change this by editing the 'Quick Find' View for the account entity and using 'Edit Filter Criteria' - you can then remove the 'Active' filter.

    The only down side with this is that you will likely return records that you don't want like those that have been merged together with another record. For this reason, I think the better option is to use Advanced Find to search for Inactive records. Select Advanced Find and then add a criteria to search for name also where Status Reason = 'Inactive'.
