Dynamics 365 Portal licensing and pricing, please help!

Posted on by 141

We have a requirement to implement customer portal that would enable our 300 customers to login to portal and manage their profiles, accounts, check bills, invoices etc. We currently have about 40 employees who might occasionally login to the portal too.

We have one production Dynamics 365 tenant with Customer Engagement Ent plan and mix user licenses.

For this purpose information will be driven out of Dynamics 365 CRM and we understand that there are few Portal options i.e. Dynamics Portal, ADXStudio portal, Dynamics Community Open Source etc. We will have to hugely customize either of these portal to make some use.

It is impossible to find a detailed licensing guide on the Portal aspect alone (I don't mean the app licences i.e. Sales, Customer Service etc), hence frustration.

I have stumbled upon few link which seems to be directing to one PDF document with no declarative information on the Portal aspect.

Could anyone please share this niche information on which/how Dynamics Portal licensing will work for our 300 customers?

Does everyone of the 300 customers needs some level of license to login to portal access account?

If so, how much will Portal user license will cost us for each customer?

Also, which of the above portal option will best work for use i.e. from customization purpose and cost?

Thanks in advance!

    Hi Aric,

your answer was helpful. I would just like to know though if the external user would be able to create/edit records in D365? - considering they do not have a license

    Hi Qaqa,

CRM will not provide them automatic usernames and passwords.

They will be contact records in CRM, and you can generate an invitation for each of these users, so that they can sign in and register in the portal. Once registered their password hash will be stored in the contact record.

You can also set their usernames and passwords if you want.

They do not require additional license to access portal. These are external users.

    Check MS Licensing Guide:

With Microsoft Dynamics 365, you must license each internal user who will access the service. However, access by external (third party) users is included with the subscription and does not require subscription licenses (SLs) External users are users that are not an employee, contractor, or agent of the customer or its affiliates.

In other words, end customers (customers of the Microsoft Dynamics 365 customer) do not require a SL to access Microsoft Dynamics 365 unless these users are accessing Microsoft Dynamics 365 client applications and graphical user interface (GUI). However, end customers may not use Microsoft Dynamics 365 to manage any portions of their business. In this sense, the definition of external users does not extend to the customer or the customer’s affiliate’s contractors, vendors, or agents providing business processes on the customer’s behalf.

    Hope this helps.

    Hi Aric,

Thank for your response but I will ask you the same question I asked Kranthi:

So end users (300 customers) don't require any type of license to access portal that will be driving information in/out of CRM?

Will OOB portal automatically provisde username and passwords?

Can you user register on their own online using portal?

Which CRM entity will hold user credential information?

    Thanks.

    Hi Qaqa,

If you have a Dynamics 365 tenant, you get one portal instance free of change with your subscription. You need to have at least 4 Full User licenses (app license or Enterprise Plan licenses) in order to get the Free Portal.

If you need to get additional Portals, you can purchase them at $500 per portal instance.

Regarding the comparison of the different types of portals, take a look at the following two articles:

End of Support for AdxStudio Portals v7 by Microsoft:

    Hope this helps.

    Hi Kranthi,

Thank you for your answer to my question.

Can you please explain the customer end licensing point bit more i.e.

So end users (300 customers) don't require any type of license to access portal that will be driving information in/out of CRM?

Will OOB portal automatically provisde username and passwords?

Can you user register on their own online using portal?

    Hi Qaqa,

Below information should be useful for you:

    1. There is only one portal option available that is CRM Portals. Earlier it was ADXStudio Portal.

    2. There will be no licensing for end customers.

    3. When you purchase a Customer Engagement Enterprise Edition Plan, I guess you will be getting below thing

    • CRM Instance: Production and Sandbox
    • CRM Portal: Production

these are by default provided (Get this confirmed by checking your instances in 'Admin Center' > Dynamics 365 > 'Instances' for CRM and 'Applications' for Portal Add-On

    4. If you need an additional portal, below is the information.

    5. For customer facing portal, better to go with 'Customer Service Portal Add-On'

    6. Customization effort will be same irrespective of which portal you select.
