SharePoint Integration- show custom columns

(0) ShareShare

Hi,

We enabled SharePoint Integration and added a custom required field on a library. When uploading a document from SharePoint we are able to populate the custom field.

The Documents Associated View in Dynamics does not show the custom field and since this is required, we are not allowed to check in the document from dynamics.

We would like to show the custom field in the Documents Associated View, and also populate this field from Dynamics instead of having to open Sharepoint. Is this possible?

Thanks,
Kelly

    Hi Kelly,

You are welcome. Hope you are well.

Unfortunately, this is not supported to be done from Dynamics. (Dynamics rely on SharePoint API to retrieve the data). The values of columns will have to be entered, populated in SharePoint.

Please let me know if you have any other questions.

    Thank you.

    Regards,

    Diana

    Hi Diana,

Thanks for your reply. I managed to include the field on the view.

Is it possible to populate the field from Dynamics? Is there a way, maybe we can include it under the Edit Properties popup (see image below)?

    Hi Kelly,

My name is Diana , from Microsoft Support. I see that you mentioned you have added a custom column on the SharePoint side, but you are not able to see it in the Document Associated Grid View. Have you also added this custom column on the view from CRM?

Create the Field in CRM that has the same Display name as what you created in SharePoint.
In CRM under the SharePoint Document entity, create field using the same Display Name as the column name in SharePoint. When selecting the data type choose Single Line of Text for all SharePoint data types except for dates, here you can use the CRM date data type. Now add the Custom Field to the SharePoint Documents Associated Grid View in CRM. These values in the custom fields need to be populated in SharePoint.
Now open a record and navigate to the Documents for that record. You should now see the populated values for the custom fields based on what we have in SharePoint.

Please be aware that customizing the entity/grid view, adding/removing columns, and other similar customizations can corrupt sometimes FetchXML and LayoutXML (https://docs.microsoft.com/en-us/power-platform/admin/troubleshoot-set-up-sharepoint-online#missing-document-associated-grid---validate-and-fix).

Please let me know if you have any other questions.

Thank you and I wish you a pleasant day ahead!

    Regards,

    Diana
