Providing custom help via PDF user manual, short text balloons over data entry fields, uploading PDF user manual as module help

Hello All,

I am new to the Dynamics 365 (D365) platform and having come from an Oracle product stack, I am actually slowly but surely loving the D365 platform for its ease of use, functionality, etc.

As background, my organisation has D365 Customer Experience and a number of customised modules. At the moment, our main PDF user manual is stored on our SharePoint platform and users have been instructed to create a shortcut to the PDF user manual in question. This means that if they need to refer to any parts of the PDF user manual, they need to switch from their D365 browser session, go to their Windows desktop, launch the PDF user manual and search the content.

I am looking for means to make our users' lives easier when they need any assistance and would like to pick your brains about the following:

1. I would like to know if it is possible for users to access the PDF user manual from within a D365 CE module. If yes, what would the steps be to achieve this? Would it involve overwriting the URL assigned to the "?" appearing in the menu bar? Is it possible to have a link pointing at the generic D365 Help website and another one pointing at our PDF user manual file on SharePoint?

2. I would like to know whether it is possible to upload the entire contents of the PDF user manual as a proper help. If yes, what would the steps be to achieve this?

3. I would like to know whether it is possible to have a short help balloon to appear right above each data entry field. If yes, what would the steps be to achieve this?

Thank you in advance and keep up the great work.

Cheers,

Michael

    Hi Michael,

You can set up Knowledge Management for any entity that is enabled for Knowledge Management. Here is the prerequisites

    https://docs.microsoft.com/en-us/dynamics365/customer-service/add-knowledge-base-search-control-forms#prerequisites

In my previous post I have provided a link to configure Sharepoint Online as well as On Premises. Here are few more.

    Hope this helps

    Hi PG,

Thank you for your response and suggestions.

While I see the merit of using KnowledgeBase articles in a Help Desk capacity, I had not considered the same within a custom-designed D365 module. Are you saying that it is possible to have a Knowledge Base set up within a custom-designed D365 module? If yes, what are the pre-requisites to satisfy to get the Knowledge Base functionality available within a custom-designed module?

Further to your suggestion to use SharePoint for document management, our organisation has SharePoint 365 and uses it to host client records\files. Therefore, our PDF user manual can be saved in a SharePoint site. How would you suggest D365 users access the PDF user manual from within the custom-designed D365 module?

    Thank you.

    Michaek
