Workflow auto-email not sending

(0) ShareShare

I am trying to set up a workflow which will automatically email the potential customer information on the specific product feature for which they express interest via a form on our website. I currently have the workflow set up and it is showing under "System Jobs" as having run successfully, and it is in fact creating leads within Dynamics as it is supposed to, but the email is not being sent.

When you "set properties" for the email form within the "Send email" step on a workflow, there is a box to the right with a title of Dynamic Values. When I use these Dynamic Values to populate the "to" and "from" fields of the e-mail, Email is not one of the choices. We have Customer, Lead, and a few others (see picture below.) I thought if I selected Customer, perhaps Dynamics would automatically know to pull the field with a type of "email" but it appears not, as it isn't sending the e-mails.

Has anyone else had this problem? Any ideas about what I am doing wrong or how to fix?

If you are sending emails to potential customers, You need to use the Lead(Lead) property on the To field. This will extract the e-mail stored on the Lead form for the Potential customer.

Have you noticed that there is also a 'Customer' lookup available as part of the list of fields for Leads? You would use this field on the workflow only if you want to send an email to an existing customer and they have been associated with the Lead record.

In summary, just modify your workflow to send emails to Lead(Lead) and ensure you have captured the email address for the lead on the Lead form.

Also, you might find that the Workflow is in the 'Waiting' State - This could be because there was no email address associated with the lead and the workflow is unable to send an email to the lead. You can view the status of the workflow by opening the lead record -> Navigating to the Workflow -> Click on the workflow in the waiting state -> Click on the details section of the system job

    Karth, thanks for your reply.

I tried just Lead in the "To" field, and it still hasn't fired off the email. The workflow shows as completing successfully though, and the lead record is created.

Oops, it DID work! There was a bit of a delay but it eventually did send me the e-mail. So, your answer was correct, Karth! Thank you!!
