PO workflow Change Requests

(2) ShareShare

Hello,

When an approver selects change request on a PO workflow, and the user resubmits, it is not going back to the approver that requested the change request, it is going to next person in line in the managerial/position hierarchy.  Is there a setting I can change to make this go back to the person that requested the change?

Amanda submitted the workflow.
It went through two approvals and then it went to Vincent
Vincent requested change on the workflow
Amanda resubmitted it
Workflow then went to Mark, instead of going back to Vincent

    Hello,

Each re-submission starts a completely new approval process from the beginning.
One option: add an out-of-the-box field to the PO header (manually set only by users with specific roles), then configure the workflow to skip approval levels when that field has the expected value.

Hope the community has better ideas, this is just what came to mind off the top of my head.

    Thank you,
    Giorgio

If it started a brand new approval process from the beginning, it would have went back to the first approver. It is not doing that, it is going to the next person in the position hierarchy that is after the person that requested the change.

    Hi Clazzari22,

What is the reason to assign the workflow to the person who made the change request? That is not the intention of workflow approvals. It should not be approved by the person who makes the change. Please clarify what would be the reason.

I do not want it approved by the person that makes the changes, I want it to go back to the person that requested the change.

    Hello,

If additional corrections are needed in the PO, the workflow should be aborted.
After the correction, the PO workflow will start from the beginning. If the rule is set to ask the supervisor (tied to the requester), D365FO will perform the calculation from the beginning again.

    Thank you,
    Giorgio

    Hi,

as Andre and Giorgio already mentioned, I do not think you are missing some parameters but is just the way in which Dynamics 365 hiererchies work. As Giorgio mentioned probably the best way to address this is that the people who request the change actually "Reject" the workflow, stating in the comment the reason and the required changes so that the preparer can act on it. The workflow will then restart from the beginning but if you think about it it does make sense: let's say that the one requesting the change is the second approver, the first approver approved the first version of the PO but maybe he/she would not have approved the current version. So it makes sense that the workflow starts from the beginning and everyone approves again.
If you are worried that the history of the workflow is not entirely tracked because is a new workflow that is activated, remember that in the menu "Workflow history" you can always see the whole history of all the workflows.

    Hope it helps

    Hi Clazzari22,

Is there a different user involved which is requesting the change and who makes the actual changes? I don't think the application logs who did click on the button to request the change.

Yes, the submitter (user that makes the change) is different than the approver (who requests the change). Our workflow is configured that no submitter can be an approver on their own orders.

The approver is requesting change because they want the submitter to attach a quote, documents, etc., not actually change anything on the PO.  Since they aren't editing the PO, the PO does not go back into draft, and the user has the ability to resubmit the workflow. It is going to the next person in the hierarchy instead of back to the person that requested the change.  I want it to go back to the person that requested the change.  It seems that D365 is marking their step as completed, even though they didn't actually approve, they just requested a change.

    Hi Clazzari22,

I have now reread all information and it is fully clear to me now. I was thinking initially in a wrong direction. I thought about a change request on an already approved PO, but this is within the workflow steps itself.

For the review part, indeed the step is completed, where after resubmitting the workflow, it will continue with the next steps. You can try to insert a second review task for "Vincent" before a new approval for "Mark".
