Do I need to Publish All Customization's after editing an existing workflow process

Hi,

    I'm a beginner in CRM Dynamics and stuck with a query. I'm using CRM Dynamics 2016 online Update 1 version.

Do I need to Publish All Customization's after editing an existing workflow process?

Desc - There is a workflow process which had a step to send email. A User email Id was hard coded in BCC:, which was requested to be removed.

Steps performed:

  1. Logged into CRM Online application.
  2. Clicked on Main --> Settings --> Processes (Under Process Center)
  3. I deactivated the workflow process.
  4. Removed the email Id from BCC: and activated the workflow again.

Issue - After sometime the user still complains that he is still receiving the email address. User shared the email notification.

Investigation - Using the subject line I queried in  Activities entity and to my surprise found that users email Id is hard coded in BCC:

I did a research and found that editing workflow process should be done by clicking on Main --> Settings --> Customization's -->  Customize the system --> Processes.

After performing the same above steps 3 & 4, Do I need to click on "Publish All Customization's"? Please clarify.

    Hi, Thanks for your immediate response. But how do you explain the email Id still being hard coded and used in BCC: while sending the notifications. Any suggestions? Do I need to analyze somewhere else?

    Hi,

      Some times your changes wont reflected in workflow please double check the Bcc field.  But no need for Publish All Customization

    Hi Faiyaz,

    As far as I know, I've never published a process. I always deactivate and activate workflows and they work fine for me. So I don't think you need to publish after making changes to processes.

    Looking at your steps, everything looks correct to me. So just to make sure, after removing the email Id from 'Set Properties' window, have you saved the workflow before activating? I am sure you might've done that but that's the only step that is missing in your 'steps performed' checklist.

    Or, try it in a different browser or clear the cache and try again.

    Yes, definitely saved it. The email Id in BCC field is gone. It's not there anymore in the workflow process. Then how come the user is still receiving email notification?

    Ok.. I figured as much. This has happened to me in past.. no matter what changes I make in the workflow processes, they won't get applied. After multiple failure attempts, I tried to make changes in a different browser and then workflows started working properly. Weird.

    Also, if it's not too much work, how about recreating the email step? Sorry, couldn't think of anything else.

    Hi All, Thanks a lot for your response to my query. Yes, you are all correct. You don't have to "Publish all customization" when you make changes in a workflow process.

    Although my issue is not resolved yet, but a deeper analysis has revealed it to be a problem with the System jobs related workflow process. I'm going to start a separate thread. You can search for this tag - "Existing system jobs of workflow process" and please let me know your expert opinion. Thank you so much.
