CRM Online and Gmail Integration help

I have gone through all the postings and documentation on integrating CRM Online with Gmail that I can find and still am having problems. Here is the basic configuration information followed by the error messages I am getting.

Profile
 Name: Gmail
 Server Type: Other (POP3/SMPT)
 Incoming Server Location: pop.gmail.com
 Outgoing Server Locatoin: smtp.gmail.com
Authenticate Using: Credentials Specified by a User or Queue
Use same settings for Outgoing: No (currently, but have used Yes and "Credentials Specified by a User or Queue" also)
 Incoming Port: 995
Incoming Authentication Protocol: Basic (dropdown disabled. no other choices)
Outgoing Port: 465 (have tried 587 also)
Outgoing Authentication Protocol: Basic (dropdown disabled. no other choices)

There is no "Use SSL" option on the form, so I assume it is the default and already set for me. If this is a bad assumption, please let me know where I can set SSL for the profile.

Mailbox
Email Address: myemailaddress@gmail.com (can log in, send, receive, etc)
 Is Forward Mailbox: No
Allow to User Credentials for Email Processing: Yes
 Username: myemailaddress@gmail.com
Password: my verified password from plain text cut-n-paste that works when on the Gmail interface
 Server Profile: Gmail
Incoming Email: Server-Side Synchronization or Email Router
Outgoing Email: Server-Side Synchronization or Email Router
 Appointments, Contacts and Tasks: None

On the Gmail side, I have:
  Disable forwarding
  1. Status: POP is enabled for all mail that has arrived since 8:18 pm
Save changes

When I test, I get two errors (and an informational message - not included here)
1) Email cannot be received for the mailbox Clint Woods. Make sure that the credentials specified in the mailbox are correct and have sufficient permissions for receiving email. Then, enable the mailbox for email processing

2)
When using 465 for outgoing port:
A time-out error occurred while sending the email message "Test Message". The mailbox Clint Woods has been disabled for sending email and the owner of the associated email server profile GMail has been notified.
 - or -
When using 587 for outgoing port:
The email message "Test Message" cannot be sent because an error occurred while establishing a secure connection to the email server. The mailbox Clint Woods has been disabled for sending email and the owner of the email server profile GMail has been notified.

Thanks Prashant. This information is incorrect (pop3.gmail.com is unsupported, only pop.gmail.com as per Google's documentation) and appears to be for CRM on premesis. As I mentioned in the post: this is CRM Online, there is no checkbox for SSL, and all the settings on this link are ones I have already tried. The checklist was somewhat helpful as it confirms the things I have already checked.

    Hello Clint ,

Thank you for the reply and the Update I will get that checked  (pop3.gmail.com is unsupported, only pop.gmail.com as per Google's documentation) . Also I sent a link for the errors that we get configuring Pop accounts with server side sync  .

    Hi dear

Why don't u test simple setting without ssl like 110 port for incoming and 25 or 26 for SMTP?

RE: CRM Online and Gmail Integration help

Thanks for the suggestion Mojtaba. As I mentioned in the original post "There is no 'Use SSL' option on the form", so I cannot even begin to try this suggestion. Additionally, the documentation by Google regarding the port numbers is quite clear and provides the ports with other configuration information as:

Incoming Mail (POP3) Server - requires SSL: pop.gmail.com
    Use SSL: Yes
    Port: 995
Outgoing Mail (SMTP) Server - requires TLS or SSL: smtp.gmail.com
    Use Authentication: Yes
    Port for TLS/STARTTLS: 587
    Port for SSL: 465

...which can be found here: https://support.google.com/mail/troubleshooter/1668960?rd=1#ts=1665119,1665162

If anyone else is following this thread, I may have stumbled upon the answer and will verify in the next day or two. It appears this client has a domain name hosted by Google and their DNS records might need some examination. I'll post the answer when I find out. Thanks for all the input.

    Hi Clint,

Did you find a resolution to this? Have a similar issue with Incoming Email using POP/SMTP profile.

No. We finally gave up and switched to Exchange online. It appears that since the domain they were using was a Google Domain and their GMail accounts were all somehow mapped to that domain and not .gmail.com, CRM Online was simply going to reject setting up the profile with that domain name no matter what we tried.

If anyone ever gets this figured out, I'd really be curious what the resolution was.

    Clint,

The client I work with use Gmail as their e-mail messaging platform. But, their e-mail addresses are somone@companyname.com. Make sure the e-mail address of the user and the mailbox is set to somone@companyname.com and test server side sync.

They had to unblock some ports as theirs was a CRM On-premise system.

Let me know if this works.

    Thanks,

    Karth

RE: CRM Online and Gmail Integration help

    Hi Clint,

Yesterday I was doing testing to integrate Gmail and CRM Online.
These tests failed at the beginning but after doing verification and configuration in Gmail and CRM Online it was possible to enable Gmail configuration for CRM Online.

    Profile configuration:

    Server Type: Other (POP3/SMPT)
    Incoming Server Location: pop.gmail.com
    Outgoing Server Location: smtp.gmail.com
Authenticate Using: Credentials Specified by a User or Queue
Use same settings for Outgoing: No (currently, but have used Yes and "Credentials Specified by a User or Queue" also)
    Incoming Port: 995
    Outgoing Port: 587

First testing was not working due to connection blocking in Gmail

Was needed to modify settings and enable pop and imap connections in gmail but also turn on less secure apps and confirm blocked connections after enabling mailboxes.

It took hours to propagate configuration from gmail to user in CRM Online and after some time was possible to enable integration of Gmail with CRM Online, this was also tested with email router :).

I also saw configurations with somone@companyname.com profiles in gmail that are working, I think that problem is due to blocking generated by gmail but after turning on less secure apps, pop, imap and confirm suspicious connections, gmail will start working with CRM Online.

RE: CRM Online and Gmail Integration help

    Hi, Clint,

you can do such integration in easier and more convenient way - by using Chrome extension "Dynamics CRM Integration for Gmail". It integrates into Gmail UI and adds UI elements which allow to track emails, create contacts and view CRM tasks.
In case of this app - you won't need to do any complex configuration/routing and etc. Users would only need only to enter organization URL and CRM credential once.

    Try it in Chrome Store

    Or view on Pinpoint

    Thanks,

    Nick
