preventing users from posting their own Journal Entry

I would like my staff to have the ability to enter JE's, the Staff's Senior the ability to post only their staff's JE's and also have the ability to enter JE's and the Manager to have the ability to only post Staff and Senior JE's, no ability to enter JE's.

Summary:

Staff Accountant:  Can only enter Journal Entries

Senior Accountant:  Can enter Journal Entries and only post Staff's Journal Entries, can not post their own Journal Entries

Manager:  Can only post Staff and Senior Accountants Journal entries, can not enter Journal Entries.

How can I get this done in GP 2010, please advise.  Thanks.

RE: preventing users from posting their own Journal Entry

    Hello Mile029,

As you may have guessed, the short answer to your question is that GP does not provide the functionality you seek out of the box.  I am not familiar with the solution offered by IBIS, but I feel certian it is excellent. They are known to create excellent products.

There is not a field in the GL Work table that reveals who created the Journal Entry. You can tell who modified it last, but not who created it. If you turn on Activity Tracking, you can tell who created the transaction. Then, as Sandip Jadhav  advised, you can use a little VBA magic to determine if the person trying to post the entry created it.

You have another complication here though. Several people could create JEs that are in the same batch. Posting the batch, would post all of those entries. So, you would need to make sure whomever posts the batch does not post one that includes an entry he/she created.

All of that said, I'd look into what IBIS has to offer.

    Kind regards,

    Leslie

    Hi,

Simple VBA code can restrict users to post their own transactions. GL10000 hold record of GL entry with userid details - field  'USWHPSTD' .

Let me know if you need any additonal help on this.

    Thanks

    Sandip

So only a customization can solve this problem?  It is not built into the default user controls of GP?  I would think it should be since it is a SOX control.  Is there a way to track what was entered and what was posted in the G/L by the parties involved, this would be one way to control the issue for our company.  Also, where do I get this customization?  Please advise, thanks.

I.B.I.S. has done a customization to support exactly this for a number of clients. Without a customization there is no way to get exactly what you want. I'm not aware of a 3rd party solution that addresses this.
