Can’t find Assembly Item in Database

Posted on by 5

Messing with the Store Operations POS/Manager at work. We’ve long had it where if you scanned a box of something it would bring up one of them and you would manually change the quantity to what came in the box. I’ve been experimenting and found Assembly Items, where you can set it up to scan the box and have it automatically bring up the fully box quantity of individual items. That seems to work just fine.

The issue I’m having is that once the Assembly Item is created, I can’t find it in the item database anywhere. It exists, I can scan it in the POS and have it work, but scanning it in the database brings up nothing. Where do I need to go to be able to find and edit that Assembly Item once it’s been created?
1. If you want to see Assembly class items in item list views in POS or Manager go to Manager, File, Configuration, Options, Item options, and make sure "Always display Find for items " is not checked.
Now the list view will show assemblies along with matrix class codes plus a new column will appear labeled Item Type.
That is exactly what I was looking for. Well, not Exactly, but I think as close as I’m gonna get. Thanks!

    1. If you want to see Assembly class items in item list views in POS or Manager go to Manager, File, Configuration, Options, Item options, and make sure "Always display Find for items " is not checked.
Now the list view will show assemblies along with matrix class codes plus a new column will appear labeled Item Type.

Assemblies are groups of different items typically sold together.

From F1 Help, search for "assembly" --

    "Assembly items
An assembly item is essentially a bill of material that consists of existing inventory items bundled into one package and sold under a separate item lookup code. For example, assume you sold computers. One of your assembly items could consist of a monitor, a CPU, and a keyboard. Another assembly item could include a monitor, keyboard, scanner, and printer.

There are two main differences between a kit item and an assembly item. When a customer purchases or returns a kit (i.e. First Aid Kit) item, the individual components do not increment or decrement. However, when a customer purchases an assembly item, Store Operations updates the sales and in-stock quantity of all the items contained in the assembly item. For example, if you sold a computer assembly item, the quantities for each individual component (monitor, keyboard, scanner, and printer) would decrement.

The second difference is that when cashiers ring up an assembly item, they can modify the quantity, price, and/or tax status for each item component. If the customer wanted to purchase the assembly item but did not want to buy one of the components (i.e. printer), you could delete the printer item on the transaction screen. Store Operations would then adjust the sales total"

    2. If you want to sell boxed items in the box or separately use the Parent/Child feature where the Parent item is the box and child is the individual item. The parent and child items have separate Item Lookup Codes. You can scan a box to sell the box or scan the child item to sell one item from the box.

From F1 Help, search for "parent" or "child" --

"Parent item: Displays the item lookup code of the parent of this item. A parent item is an item that contains a set quantity of a single item. When the on-hand quantity for the single item is depleted, the parent item is "opened up" so that the total number of single items it contains is now seen as the on-hand quantity for the single item. This option is also know as "breaking" and is useful in extracting single units from carton or case inventories. The total number of single items the parent contains is displayed in the Child Quantity field.

Child quantity: The number of child items contained within a parent item. For example, it would be the number of packages within a certain carton"

First create the parent item for the box/carton. Next create the child item and assign Parent under the Special tab and indicate quantity contained in the box. For example, the parent box contains 10 child items.

RE: Can’t find Assembly Item in Database

I created the Assembly Item and added the component with the quantity and gave it a scan code and description. When you scan it in POS is works and brings up the assigned quantity of the component. When I try to find the Assembly Item in the database either by the scan code or the description, nothing comes up.

RE: Can’t find Assembly Item in Database

If it scans in POS and brings the correct item and quantity both are there.

If it scans without bringing the item lookup screen in POS and nothing appears then item is missing not assembly item. Item needs to be created. Or Assembly Item has no Item in it.

If scanned in POS brings the item lookup screen assembly item is not there, need to be created.

In general assembly items are groups of real items and their scan code appears in item window "Member of" table under "Item Type".

Assembly items can be deleted and transaction history will not be affected, where Items should be placed "Inactive" rather deleted.

Assembly Items can have more then one components and/or quantities. They are very useful if dealing both in individual items and boxed quantities. Also any price change changes need to be done on only main Item, unless of course you keep different boxed prices.

To find an item you can use the "Find" button in Item screen and make sure the boxes for Description LookUp Code Alliases etc are ticked.

What names are you using for Assembly Items, if the same name as the real item is used it will show both items one under the other if description used for sorting.

    I hope this helps.
