emailing modified purchase order

Posted on by Microsoft Employee

I am trying to use the new email functionality that came with GP2010. I have set up my system to email purchase orders and have included the vendors and companies that I want to use. I am able to email the out-of-the-box word template, but have been unable to email a modified version of this template. Our security is current set to use the modified purchase order. Has anyone had this issue?

    Re: emailing modified purchase order

I was wondering if you were able to get this one figured out.  I am having the same problem where I've modified the PO Form and have tried to have GP Email it, it is using the default form instead of the Modified form.

In the form, I had to add some fields that were not on the original form so I created a new POP Purchase Order Blank Form and have security set to run the Modfied report.  As i said, that form is printing correctly when printing to screen, but when emailing, the original standard template is being sent.

I figured that if it wanted to use the Original Form when emailing, I'd just recreate the report in the Standard report template and switch security to use the GP report.  I tried to add the .xml informaiton for the extra fields into the standard template, but when I do that, I'm unable to import the report to synch it in GP.  Therefore, my added fields are not printing on the report correctly.

Bottom line is that I need to be able to email the Modified Report, which is working when printing the template to screen or I need to be able to add the fields to the standard template.

    Has anyone run into this?

Thanks so much in advance for any pointers.  I'm on GP2010 R2

@Dale - Thank you for the information. We have been using GP since version 7.0 and have had a modified SOP report since the beginning. I guess I will have to try and recreate it.

Did you design the modified version from the GP 2010 original report (ie, if you had a modified POP and SOP version before GP 2010, did you delete the modified report writer reports and rebuild the modified versions from the GP 2010 standard)?

The reason I ask is that we have been on GP for 12 years and have used modified SOP and POP forms for years.  I could not get the modified POP template to email (even though the template would generate in Word), but the standard would email. A Microsoft rep asked me if our modified version was from a previous version of GP and suggested that I start from scratch if it was.  I did this and the modified POP now emails.  I was lucky that our SOP worked without having to rebuild.

I am almost positive that I also read somewhere in this forum that if your modified version  required your organization to add or delete sections in report writer, then that could cause the email functionality not to work (and could also cause the template to not work as well).

    Good luck.

I've only seen it when we e-mail in bulk (more than one POP or SOP orders at a time) by selecting the checkbox on Purchase and Sales Order Transactions "dashboard".  The canned forms are used instead of a modified ones.  I think GP Team need to take a look into it too.

If you only send one form at a time, then I suggest delete the Template and redo it again.  It happened to us alot when we were starting out of doing the template for Sales Order.

Since the canned reports are working and the modified ones are not it has to be something with the Template it does not like.  I would recommend opening a support case, so we can evaluate your Templates.

I checked the template, and do not see a hyperlink in it. We are also having the same problem with the sales order report.

Hello Jeanenne - Do you have a hyperlink on the Template.  I have seen this being an issue when trying to Email the template.  That is currently written up as a bug.
