Beginner with multiple questions

Hi everyone,

I just registered here. I am currently an Infusionsoft CRM user looking to migrate to Dynamics 365 (online), I think it will be Dynamics 365 Plan 1 (Enterprise)  and I have a couple of questions that I would appreciate reply to. I have really tried to find this information online but seems to be impossible so asking here.

1a. What is the number of maximum contact records that one can have for Dynamics 365, or does it work on a storage-basis, I read somewhere that accounts have 5 GB limit, any way to increase that limit? Pricing?

1b. Is there an email limit per month? Email broadcasts are supported?

2. Where are the emails sent from, do I setup Exchange online SPF record in my dns? How many lookups are there. I currently have Office 365 account, I have not yet verified my domain but I am looking to do that by adding records in my DNS. Possible to verify with DKIM?

3. Does Dynamics 365 offer automatic marketing campaign of prewritten emails?

4. Infusionsoft uses tags to sort contacts, is there a similar way within Dynamics 365?

5. Does web forms exist in Dynamics? I read there are add-ons but maybe they have added web forms now that can be added to website to signup contacts? Also is it possible to tie Actions to them. Maybe this is where Microsoft Flow comes in?

6. If web forms are available is it possible to extract its URL so that my external e-commerce platform can send data into Dynamics and keep the contact records updated? I guess in worst case webhooks are supported?

7. If I have Customer Support app, does it allow me to have an internal Intranet (only for staff if needed) and one external for visitors/customers?

8. Are triggers supported? For example if a contact record registers in this web form and then they have this tag or that tag then take this action or this action. In Infusionsoft its called Rules with Action.

Its a lot of question and if you are qualified for one or more please let me know. More questions to come but I think many will consider these things switching to Dynamics 365.

    Hi Aric, I really appreciate that you are jumping in and helping out!

    (sorry about the long text and multiple questions, hope you can help out).

    When you say Server Side do you mean that it will come from my own domain and emails stored there? Currently I have setup G Suite (Google Mail) and all DNS stuff has been setup. I am using CRM Infusionsoft, but that and Google Mail does show my domain as sender but its not actually sending from my domain.

    My option would either be Exchange Online (hosted by Microsoft) or third party providers (SendGrid but unlikely for sending emails from Dynamics) but would be nice to a have a single place that does all (Exchange Online). Assuming once DNS settings are setup on my server the from address emails will be displayed as my domain and not a weird outlook address?

    Would prefer not having the emails stored on my server. My goal is to use Dynamics Online in the Spring I am planning since the new Marketing thing will be released then and I need that (not really interested in getting Adobe Cloud Marketing). Also it seems that in the Spring the Business Edition of Dynamics will be released.

    - Are you saying that there are other subscriptions than Enterprise? You must mean if I purchase and subscribe to one or multiple apps, in Sweden I do not see any other options than that.

    I just checked out Portals and that seems really interesting. It will be hosted on Microsofts Azure or my own with my custom domain URL?

    Do the web forms have a public URL? If so I could use them on my website and maybe redirect them to a download page, I could use the form URL to integrate and send data from my e-commerce to keep records updated.

    After almost 10 years building a company obviously there will be a lot of questions before making a move but I am very excited and hope I can move multiple parts of my business to Microsoft.

    Hi Vicky, interesting!

    Any tip on where to start with that? At the same time I am thinking that switching would be a real pain since I have ongoing subscriptions with clients. They do have options to send information via webhooks/web forms with a public URL to update data. That might be a solution to integrate it. But then also thinking about later on PowerBI.

    Even though my company is small now I would like to lay the foundation so that it can grow and expand within the Microsoft Environment.

    Hi,

    Just a few things to add to Vicky's answers:

    Microsoft Dynamics CRM/365 uses Server Side Sync for sending emails out. You can set up your target environment to be either Exchange On-Prem, Exchange Online or third party providers. Per Microsoft Mass Emails are not supported using Server Side Sync, however they have never really mentioned what the Mass Emails definition is.

    There are no web forms out of the box in Dynamics 365, however with an Enterprise subscription, you are entitled to Portals. With Portals you can create web forms that will be linked/displayed in your portals web site (hosted on Azure).

    There are different types of Portals that can be installed, so you can decide which portal to use, and that will allow you the usage of Internal or ECommerce portals.

    Triggers can be supported in 3 different ways: Workflows as Vicky suggested, but also using Microsoft Flow or Plugins for more advanced types of Trigger requirements.

    Hope this gives you some additional information.

    Once again thanks, so appreciated!

    1. I did look into buying apps separately like Customer Support but the difference is so small plus you get other stuff so might as well spend a few bucks extra. They are coming with a business version of Dynamics but no word of when.

    1a. Ok then I can look into the plug-in later if needed.

    3. I will check out Customer Insights, thanks. Based on the link you sent it says:

    "Last year, we announced that Microsoft Dynamics Marketing would no longer be sold to new customers starting November 2016. Microsoft has made the decision that Microsoft Dynamics Marketing will be discontinued as of May 15, 2018." That means I would not be getting any kind of tool for delivering automated emails, it seems they are recommending people to use Adobe Marketing Cloud (in the meantime I would guess) until they deliver Dynamics 365 for Marketing.

    Since my business is small and Im not in a hurry to switch over to Dynamics, it might actually be much better for me to hold out until the Dynamics 365 Business Edition is released and then demo it and transition into it.

    I sure hope they add web forms, kind of insane not to.

    6. When it comes to e-commerce is Microsoft good to handle subscription based? Does it have a name and I could look into if its a viable solution for me.

    1. The 10 GB is that for any plan or just Enterprise?

    Im assuming the third-party apps would need to be setup right away or could it be done afterwards so that previous attachments are moved from Dynamics to Sharepoint?

    2. The problem is that I am using G Suite, it seems that having users there is cheaper than assigning new users in Outlook. But I assume that if I want to send emails ending with my domain I would have to setup DNS MX records and stop using Gmail?

    3. "Marketing module of Microsoft Dynamics 365 that will be release next year" good to know, but what does that actually mean for us users?

    4. I am thinking, is it possible to put people in multiple lists. Let me give you an example in Infusionsoft I might have a person with these tags

    - Customer

    - Active Customer

    - Product X

    etc.

    Would I put the contact in all these lists individually, and when I search for contacts could I search for a combination of lists.

    5. I have been looking at PowerWebForm was even in contact with them but just wanted to check if Microsoft might have added web forms. I did find this free alternative not sure if its any good:

    (PowerWebForm is just $1 per user).

    6a. I am using e-commerce FastSpring and I really like it, have no plans of switching. No apps available for that but we could just develop our own webhook and post to our Dynamics account or via web form is they are hosted on a shareable URL. That is how we do it now.

    6b. Do you know if the PowerWebForm require captcha or if it can be set optionally?

    7. I do have Office 365, Business Premium Account that comes with Sharepoint but trying to wrap my head around it. Do you know if it is possible to add users only to have access to share point or more simple users. My company is quite small.

    8. My Office 365 account does have Flow but I guess its separate inside Dynamics 365?
