Email Template for Custom Activity

Hello everyone,

I have recently started to work with Microsoft Dynamics CRM.

My client required the possibility to send massive bulk mails from an external provider. Since I am working with the Online version of the CRM, as far as I understood, I do need to create a custom entity (lets call it "extEmail") unless I don't want to send the emails from the exchange email server (that would be crazy for the amount of email to send).

Doing so, how can I include an "Email Template" when I want to distribute my custom email activities?

I do apologize if turns out to be a silly question, but it is my first project with CRMs and Microsoft suites.

    Are the emails being sent from a 3rd party and you just want to import the data after the fact?

    What is the external provider here? For sending emails you can use Server Side Synch/Outlook/Email Router.

    For Server Side Synch following are the supported ones: technet.microsoft.com/.../dn531050.aspx

    For outlook it can be just used as a normal outlook which will get integrated with CRM. For this you will have to use outlook connector with CRM. This can be downloaded here: www.microsoft.com/.../details.aspx

    Hi Mark and Vishnu,

    thanks for the reply. What I need to do is "create custom activities" for each member of the ML, through the campaign activity. From this activities created I have to collect the email addresses and send it through REST to 3rd party provider that will deliver all the emails.

    Vishnu, the provider (MailUp) is not supported for server side synch, and the client does not want to use their own provider to avoid blackmailing.

    But my question is regarding the email template not how to send the email:

    how can I include/use an email template into a custom activity?

    Hi

    You would need to create a relationship from your new activity entity to the email template, Then have a workflow or plugin that pulls the information from the email template

    That is a tricky part for me. I mean, I tried to create a Lookup field with an email template, but is not possible apparently.

    Could it be a solution if, when I want to distribute the activities, in the plug-in I'll require an email template to be set and then set all the information inside? It is like you said, but without the relationship.

    About the relationship did you thought about a lookup or I've understood mistakenly?

    I do not think you can use the email template for the custom activity. But the question is why can't you use the email activity itself instead of creating the custom activity? If it is not just Server Side Synchronization you can always use outlook or email router as well.

    Please check the possibility of doing it.

    Because the CRM will try to automatically send the email through the system and this will cause  errors of "pending emails". We need to use the external provider (that allow only SMTP connection) to avoid black mailing (becoming spammer).

    Regarding the Email Router as described here: technet.microsoft.com/.../dn832088.aspx

    "The Microsoft Dynamics CRM Email Router is deprecated for December 2016 update for Dynamics 365 (online and on-premises) or later."

    As far as I understood Server Side Synch need a "2 way" synch (pop and smtp) but we have only smtp to be setup.

    I have resolved the issue with the email entity.

    I will still use the email entity for the campaign activity distribution and I'll run a workflow that will change the status reason of the email activity from "pending" to "sent" to avoid errors in the system.

    The "problem" is still on for another custom activity (SMS) in which I want to use the email template to use the placeholders and customize the content of the SMS to be sent for each customer.
