Backdate depreciation on missed capital expenditure

Posted on by 2
We have an asset which was posted to the P&L in March. This has been identified in November.

We need to add this to our fixed assets now. But we have locked the period up until 30th October and cannot backdate the depreciation.

Is there anyway to post the asset in such a way that BC will recognise the additional missed dep'n to date, and date it all in November, and then depreciate the asset going forward.

Conscious that if I do a separate journal for the additional depreciation, the NBV of the asset in BC will be wrong.

    hi

In Microsoft Dynamics 365 Business Central (BC), handling a situation where you need to add an asset to fixed assets with missed depreciation can be managed effectively, even if the period is locked. One approach is to use the FA (Fixed Assets) G/L Journal.
    Here's a step-by-step guide:
    1. Create a New Fixed Asset Card:
Go to the "Fixed Assets" workspace.
Create a new Fixed Asset card for the asset in question.

    2. Enter Acquisition Details:
Input the acquisition details, such as acquisition date, cost, and any other relevant information.

    3. Adjustment Entries in the FA G/L Journal:
Navigate to the "Fixed Assets G/L Journal" page.
Create a new journal entry for the missed depreciation and any other necessary adjustments.
In the journal lines, select the fixed asset in question and enter the additional depreciation amount with the appropriate G/L accounts.
Ensure that the posting date for this journal entry is in November.

    4. Adjust Depreciation Book Setup:
Go to the "Depreciation Books" page.
Select the depreciation book for the asset.
Update the "Depreciation to" field to reflect the end of October.

    5. Run Depreciation:
After making the adjustments, run the "Calculate Depreciation" function.
This will recalculate the depreciation for the asset from the acquisition date to the end of October.

    6. Verify the NBV (Net Book Value):
Check the fixed asset card to ensure that the Net Book Value reflects the correct value as of the end of October.

    7. Check the Fixed Asset Ledger Entries:
Review the fixed asset ledger entries to confirm that the additional depreciation is correctly posted in November.

    8. Lock the Period:
Once you're satisfied with the adjustments, you can proceed to lock the period to prevent further changes.

By following these steps, you should be able to add the asset, account for the missed depreciation, and have the correct Net Book Value in Business Central without affecting the locked period up to October. Always ensure to perform these actions in a test environment first to mitigate any risks before applying them to the live system.

    Hi,
You can easily calculate depreciation at 1st or 30th of November and system will calculate it for all of the missed days and post it in November. Taking into account that the Depreciation starting date is entered March (or april if it was acquired in march).
If You want to do it month by month - it can be done as well - on journal line that is generated - the Posting date has to be November, but FA Posting date should be end of each month.
