Purchase workflow stops after escalation

Hello,

I've setup a complex workflow on purchase orders with two different approval steps and conditions. Each approval step has an escalation condition (based on due dates) to go to another user in order to perform the approval step. When the approvals are performed on time, everything works fine, however when the task are escalated, the workflow crashes with the following error:

Stopped (error): Work item could not be created. Insufficient rights for user %1.

The users are part of a custom role especially design for their daily activities.

Can you please provide some assistance?

Thank you!

    Hi,

Thanks for you reply, however it's no use for me. The license file contains all relevant entries and the wf error message doesn't contain any methods or classes without permissions, only that the user doesn't have permissions...

    Zippy,

Could you provide a little more detail on the workflow. Are the steps going to specific users, user groups, workflow users or using the hierarchy?

Everyone who can be assigned a work item in a workflow will need sufficient rights to edit the records, if all users have 'custom roles for their daily activities'have all users who could be impacted in the workflow been assigned Approval permissions as part of this setup? We have a workflow with over 100 conditional decisions and almost 500 people can be impacted by the workflow. We found the easiest way to deal with this was to create a custom role which was purely to allow Workflow Maintenance - this has worked well.

    Hi,

We have few conditional decisions for automatic approval and also depending on the users, some other paths are used. I'll try to drew in few words one of our processes:

So, we have 2 approval elements and some review components and the tasks are moved to a higher level for the final approvals:

    - 1st element - based on the item's sales category, specific users will approve. If they don't approve in 12h, the approval is escalated to the purchase director, which has 24h or rejection. After approval, the element is moved to the 2nd element.

    - 2nd element - purchase director must approve within 24h or the request is rejected.

    - etc.

The problem is with the escalation on the 1st element where the WF is stopped with error that the user doesn't have permissions. No other information is displayed. The user's role contain the "Approve purchase order" duty.

If the approvals or rejections are done within the time frame setup, there is no issue, the problem appears only on escalation...

@Bruce, can you please tell me which duties/privileges did you used for the Workflow Maintenance?

    Thank you

It sounds like something in the setup of the escalation path, on the escalation path have you selected 'user', 'workflow user' or 'hierarchy'?

    Duties for Workflow Maintenance:

    Approve purchase order

    Approve supplier invoices

with additional privilege of view PO information in EP - as we are using EP for approvals.

    Escalation looks like this:

    - Escalation path - user

    - escalate to - userid

    - time limit - 24 hours

    - action: Reject
