Temporary Delivery Notes

Posted on by 557

Hi everyone!

We need an option for temporary delivery note in AX 2009.

It sometimes happens that during material delivery, due to a small margin of difference at the customer site weighing scale, the quantity of the material we made in our delivery note does not match the customer's receipt quantity. It's a very minor difference but a difference nonetheless.

Since we invoice the customer based on their received quantity, we need the delivery note with the same quantity. For this purpose, we are using an out of system temporary delivery note book. Once the receipt quantity is confirmed, we post the final delivery note & invoice in the system.

Is there any way of generating this temporary delivery note in AX 2009 itself? So it can be modified later after delivery. Or a way how we can modify the delivery note as per the customer's receipt quantity (before generating the invoice).

    RE: Temporary Delivery Notes

It seems like its the same process/document, i.e. you don't know whether its an actual delivery note, or a temporary delivery note until it's returned, but it can't be both at the same time.

It would potentially mean adding another document status and transaction for each delivery.

Would it be feasible for you to register the order, to hard reserve the stock, and to trigger a 'temporary delivery note from the registration (its only a report) - adn then complete the shipment when the delivery note POD is returned. (presumably in a day or two).

The reason I suggest that approach is that you may have a messy impact on your invoices and your tax reporting if you do lots of adjustment after posting in Ax.

A daily exception report, or filter, on registered orders not posted as shipped will help you keep on top of things.

    Hi,

Many thanks for the additional information provided.

As you are working with AX2009, I believe that there is not straightforward standard solution available to handle this scenario and you will have to think about implementing a system modification.

    Best regards,

    Ludwig

    RE: Temporary Delivery Notes

The problem we have is, sometimes our warehouse staff are delivering items based on Temporary Delivery Notes and returns the signed copy along with customer goods receipt to the salesman concerned. The sales guy who is responsible for posting the delivery note and invoice in AX forgets to do so. In the end, we are left with AX showing inventory but there is no physical stock and then we have to go through all the TDO's one by one. So we need a solution where the temporary delivery note is AX posted and we could go through them to verify which delivery note is not finalized. Then we can change the quantity and post the final one.

    Hi,

If you only need the delivery note 'paper' (document) that you send to the customer then you can just make use of the standard delivery note functionality but disable to posting button.

Once the customer confirms the goods received, you can post the delivery as usual and then the invoice.

    Best regards,

    Ludwig
