Connect a User to Multiple Opportunities

Posted on by Microsoft Employee

Hi all,

I'm trying to give a user access to every opportunity regarding a specific customer. Is this possible to do without going through every opportunity and manually creating a connection, or without giving the user access to every opportunity?

Any insight on this would be greatly appreciated.

Thanks.

Thank you for the this information Prashant. Is there a way to do this without assigning the opportunity to the account owner? The main problem is that we want other users to be able to own opportunities for ABC Company, while ABC Company's account owner has access to these opportunities, but doesn't own them. Please let me know if this is possible.

    Thanks!

    1.Dynamic solution:

On your Account create a user lookup>>Account Manager

Now, Go to settings>>Processes>>New>> Entity=Opportunity + Trigger when created on or Account/Potential Customer field changes

Check condition>> If Account/Potential Customer contains data and

Account/potential customer's Account Manager contains data

    Action: Assign opportunity to Account {Account Manager}

2.If you want to do it for just one customer:

go to settings>>Processes>>New on demand workflow

    if Opportunity's Account/Potential Customer = ABC Company

    Assign opportunity to Yem94

now advanced find, all opportunities where account/potential customer=ABC Company and then hit the run workflow button

I forgot to mention that I want this to be dynamic, so a user has access to all of their accounts' opportunities now and in the future. The share function will take too long, plus it's not dynamic. Is there a way to do this? Thanks.

This is what I plan to do if I can't figure out a quicker  solution . Unfortunately, I need to do this for close to 100 opportunities.

    Thanks for the suggestion

An alternative method would be to use the Share function. Go to the Account and open the Opportunity Associated View. Select the Opportunities you want to share, and click on the Share command in the menu bar. Add the User to whom you want to give access, and select the permissions (Read, Write, etc.) they should have. Click the Share button.

Unfortunately I am not this advanced of a user. What do you mean by "loop those opportunities and create connection between that user and the opportunity inside loop."

Do you know of any walk throughs that could explain this step by step?

    Thanks

Instead of connecting the user to that particular account with whom opportunities are associated, you can simple get all the opportunities associated with a particular account and then loop through those opportunities and create connection between that user and the opportunity inside loop.

You can use FetechXML to get all the opportunities associated with a particular account.

I hope you got my point.

    Thanks for the link Abdul.

So if I connect a user to an account, will they have access to the opportunities involved with that account?

If this is true, could I connect this user to a parent account, so that they will have access to every opportunity involving a child account of the parent account?

    Thanks again.

    Hi Yem94,

You can create a console application to bulk create connections. Here is a useful link from MSDN.
