Export to PDF

Hi I work for a non-for-profit that uses a CRM built on Dynamics 365 Customer Service Enterprise licence. We were using 'print preview' option to export the information we enter into pdf.

The print preview option which was available in the old UI isn't a part of the new UI. When I researched online I could find articles about 'Enabling Export to PDF' option in 'Sales Enterprise' but there's hardly anything about an equivalent feature in Customer Service Enterprise. Little bit I could find online suggests to use templates to export to pdf. But it's not ideal since the templates need to change everytime we do modification to existing forms.

I still tried creating a template but all I get is a blank word document. It's really frustrating that MS decided to disable the print preview feature without providing a substitute for it.

Would any of you be able to help me with this issue?

    Hi

You should have this security role privilege to be able to preview and download a doc

    RE: Export to PDF

Hi, as I mentioned before I am not using the Sales licence but customer service enterprise licence. So I don't have access to all the features mentioned in the link you provided. However, I was able to sort out the issue by enabling the 'print' option in the privacy related privileges in the security role. Thanks a lot for all you help.

Nice, please mark my aswer verified

    Related to other issue

-Only system admin can see the preview. The other users can download?

-You checked if the users can download and see the document - in word format? You have the option seach in the ribbon of the quote - load word template

Please check if the configuration it´s ok

Enable or disable generation of PDF files from Dynamics 365 records (Dynamics 365 Sales) | Microsoft Docs

If it´s everithing alright perhaps it´s a error in word template

    RE: Export to PDF

    Hi

I created the templates as you suggested and it worked. I have 'System Administrator' role assigned and I can see the templates preview withou an issue.

The below message comes up when a user with a lower level credentials tries to see the preview.

I've shared the templates with the all the user types. As you can see the types of templates are loading, only the preview doesn't work.

I'm using google chrome as the browser for both the logins.

    Any thoughts?

    RE: Export to PDF

    Hi

See one way to do that,

    www.inogic.com/.../

Or you can do with more simple way.

1ºCreate and download a new word template with the same configuration of entities that you need - will have the new field(s)

2ºCopy-paste all the information of the prior word document to this new one

3º Make the changes that you nedd

4ºDelete from CRM previous version of word template

5º Upload to crm templates the newest version

    Tks

This was reallly helpful Leah, thank you so much.

I have one more question. How can we update an existing template with a new field added to the form?

    RE: Export to PDF

    Hi Vindiyani,

The document is blank after downloading, which is general, you need add fields you want manually.

    Here are steps.

    1.Download template.

     pastedimage1611036862541v1.png

2.Allow ‘enabe editing’ in the word.

    pastedimage1611036878929v2.png

    3.Enable the Word Developer tab.

Go to File > Options > Customize Ribbon, and then enable Developer.

    pastedimage1611037010396v3.png

4.In the Developer tab click XML Mapping Pane.

    pastedimage1611037528794v4.png

5.Expand the entity, right-click one field you need and select ‘plain text’, the field can added to the word.

    RE: Export to PDF

    Hi Leah

Thanks a lot for getting back to me.

However, as I mentioned earlier I am using Customer Service Enterprise not Sales Enterprise.

So the options I see on Power Platform or Power Apps is different to what you see.

     AZ.PNG

This is what I see as settings in my CRM.

So I do not see 'Overview' to enable entities to create document templates, Templates to create a new template.

When I download a template directly from 'Word Templates' option, it just downloads a blank page.

    Any suggestions?

    RE: Export to PDF

    Hi Vindiyani,

The document template is must whichever way you use to export PDF, so Enabling Export to PDF' option also need upload document template firstly.

For example, I enable two entities can export to PDF, quote entity has two document templates and test entity has no document template.

     pastedimage1611029543329v1.png

Then I click ‘export to PDF’ button in the page:

     pastedimage1611029612947v2.png

    How to create document template?

One way you can go Settings > Templates > Document Templates > New(+).

    pastedimage1611029719432v4.png

    https://docs.microsoft.com/en-us/power-platform/admin/using-word-templates-dynamics-365

or you directly goo to the ribbon at the top and select Word Template, then click Download Template in the entity you need.

How to export it with PDF?

You can go Power Automate(https://us.flow.microsoft.com/en-us/ ) to create a flow to achieve it.
