Renotification on overdue work item

Hi Experts,

I would like to ask about configuring a workflow that repeatedly sends email notifications to the work item owner.

I have read the post Configure manual tasks in a workflow - Finance & Operations | Dynamics 365 | Microsoft Learn, specifically the "Specify what happens when the task is overdue" section. It states that for overdue work items, we can set up an escalation path to assign the item to a specific person (or delegate the task to someone else).

 
 
As I understand it, when the escalation occurs, an email will be sent to that person. So in my case, if I want a specific approval level to complete the work item personally (rather than having it auto-reject/complete/approve), and I also want this person to receive a daily notification until the task is completed, then I would need to configure multiple escalation levels assigned to the same person. Is that correct?

Does the system support repeated notifications in such a scenario?

    Hi,
     
    I havent really worked with the escalations, however, from the designer I can tell you it is quite limited. The way I understood the escalation is that it is automatically rejected or approved, which doesnt make sense in my opinion.
     
    What I would recommened is to use Power Automate for certain cases when it comes to notifications.
    Once you create a workflow, according business events are being created in the BE catalo.
    Choose Workflow workitem categegory as they have pretty much all the information necessary in the schema.
     
     
    My gut feeling tells me that your requirement will be much better handled by Power automate and its also more flexibel. Its also a bit more effort to be hones in power automate, however, its with every tool where you have more possibilities compared to simple ones.
     
    So the idea is to create a power automate flow that is:
     
    1. triggered when a workflow is started (Business event)
    2. paused (delay) for certain amount of time => thats your escalation time
    3. then its check via condition if the status of the workflow is completed. If yes =>Terminate, else send email to

    Hi Adis,

    You're right about one thing regarding escalation: it must end with an auto-action as the final step in the escalation path. No matter how many levels of escalation I configure, there will always be an overdue scenario at some level that leads to the auto-action. Unfortunately, this doesn't meet my requirement.

    As for Power Automate, it's currently outside of my expertise.. I’ll look into it further and get back to you if I implement it successfully. Thank you so much!
