Update service tasks change inspection template

When I update an Inspection template I can choose to publish it as a new version of the current template. This updates the Service task type and that's great.

However, it doesn't update the current workorders and agreement booking setups where this Service task type is used as Service task. This can easily count up to thousands of records.

I would expect current records using this template automatically are updated, at least the ones that are still active or open.

Off course I could build a flow in Power Automate that does this. But isn't there a standard feature or config for this?

    Hi Timothy Bohte,

    Unfortunately, there is no setting to automatically do this. You can create a flow to automatically  do this as you say or after publish the revised  Inspection template, you could manually add Service Task to Work Order and remove the before Service Task.

    If you know how to use Advanced find and the Data Import tool, then you could:

    1. Using Advanced Find, locate all the Work Order Service Task records for the Task Type in question and the % Complete =0, and the Work Order Status=Unscheduled or Scheduled.
    2. Export the following columns from the Work Order Service Task: Work Order, Task Type, Description, Estimated Duration
    3. Open the downloaded Excel
    4. Copy all the data from columns D, E, F and G (do not copy A, B, and C) and append to the end end (new rows) of the Excel table
    5. Replace description with "delete me" for all the rows where there is a value in columns A,B, and C
    6. Import the data - wait for it to complete
    7. Create a Bulk Data Delete job to delete all Work Order Service Tasks where the description ="delete me"

    The imported file will create work order service tasks with the new template and the bulk delete will remove the outdated inspection records.
