Event registration in real-time-marketing

Hi all,

in real-time-marketing, we noticed, that the subgrid for event-registrations was moved into another section on the form.
Also we noticed, that passes, where removed from the form and no new feature seams to be available at the moment.

That causes pains for us, cause we are not sure about:
1) will event-registrations get more changes in the future? maybe breaking changes compared to outbound-marketing?
we are actually planning to build a huge script, that will make the event-recreation for us, cause we have about 850 events, that we need to recreate for the transition, and cause of related records (like event-registration and other stuff) we will need to recreate many thousand records. Doing that manually is not an option. But writing the script and not to know if event registrations will get more changes in the near future, does not sound good. so any information on that?
2) we really need the passes, but they are removed from the form. Does anybody know, if they come back? And in the same entity as before or in a new entity? And when? we really need to work on data transition (script), but we are not sure where passes-data will need to go to. How are different prizes for one event handled in realtime-ootb?

Thanks for any information!

Regards,
Thomas

    Event registration in real-time-marketing
Hi there! Good morning, evening, or afternoon - depending on where you are :) Hope you are well today!

    1. Will Event Registrations Get More Changes in the Future?
Yes, event registrations in Real-Time Marketing are undergoing enhancements as Microsoft transitions from Outbound Marketing to Real-Time Marketing. While breaking changes are unlikely, there are differences in functionality and setup compared to Outbound Marketing. Key points to consider:
    • Transition Timeline: Outbound Marketing will be deprecated by June 30, 2025. Real-Time Marketing is the future focus, and Microsoft is actively improving its features.
    • Upcoming Features: Real-Time Marketing will introduce new capabilities, such as waitlist registration and session-level registration. These features aim to enhance event management but may require adjustments to your scripts.
    • Recommendation: When writing your script, ensure it’s modular and adaptable to future updates. This will help mitigate risks if Microsoft introduces changes to event registration entities or processes.

    2. What Happened to Passes? Will They Return?
Passes have been removed from the event registration form in Real-Time Marketing, but Microsoft has indicated that event passes will return as part of upcoming updates. Here’s what you need to know:
    • Entity Changes: Passes may be reintroduced in the same entity or a new entity, depending on how Microsoft decides to structure the feature.
    • Timeline: While no specific release date has been announced, passes are listed as a feature that will be available soon.
    • Handling Different Prices: In Real-Time Marketing, pricing for events can be managed through dynamic content in the registration forms. You can set up different pricing tiers for sessions or tracks, but passes will likely provide a more streamlined solution once reintroduced.

    Recommendations for Transition
    1. Event Recreation:
      • Use the Real-Time Marketing API to automate event creation and registration record migration. This ensures scalability for your 850 events and thousands of related records.
      • Build your script to accommodate potential changes in entities or fields. For example, use configuration files to map fields dynamically.
    2. Passes and Pricing:
      • For now, manage pricing through dynamic content in registration forms or custom fields. Monitor Microsoft’s updates for the reintroduction of passes.
    3. Stay Updated:
      • Regularly check Microsoft’s release plans and documentation for Real-Time Marketing updates. You can find more details here and here.

    Event registration in real-time-marketing
    Hello Thomas,

You've hit upon a significant challenge with the transition from Outbound Marketing to Real-Time Marketing (CI-J) for event management. The changes to event registrations and the removal of passes are indeed causing concerns, especially for organizations with a large number of events. Let's address your questions:

    Understanding the Changes and Uncertainties:
    • Real-Time Marketing's Event Model:
      • CI-J takes a different approach to event management compared to Outbound Marketing.
      • The focus is more on real-time customer journeys and interactions, which has led to changes in how event data is structured and presented.
      • The move of the event registrations subgrid and the removal of passes are part of this shift.
    • Transition Challenges:
      • The lack of clear documentation and the potential for future changes are making data migration and scripting difficult.
      • The need to recreate a large number of events and related records adds to the complexity.

    Addressing Your Questions:
    1. Will event-registrations get more changes in the future?
      • Likely Evolution:
        • Real-Time Marketing is still evolving, and it's highly likely that event management features will undergo further changes.
        • Microsoft is continuously updating CI-J to improve its functionality and align it with its real-time customer journey vision.
      • Breaking Changes:
        • While Microsoft aims to minimize breaking changes, they can occur during significant updates.
        • It's crucial to stay informed about upcoming releases and changes.
      • Recommendation:
        • When writing your scripts, design them to be as flexible and adaptable as possible.
        • Use APIs and SDKs that are less likely to change drastically.
        • Implement robust error handling and logging to detect and address any issues that arise from future updates.
        • Keep up to date with the release plans from microsoft.
        • Test your scripts in a non production enviroment.
    2. Where are passes and prices handled in Real-Time Marketing?
      • Passes Removal:
        • The removal of passes from the form is a significant change, and it's unclear whether they will return in their previous form.
        • Microsoft is likely rethinking how event pricing and access control are handled in CI-J.
      • Pricing Alternatives:
        • Currently, there is not a clear OOTB direct replacement for passes.
        • It is likely that custom solutions will need to be developed, to handle the pricing.
        • It is possible that the pricing will be handled via segments, and then the segments will be used in the customer journey. This is only speculation.
      • Data Transition Challenges:
        • The uncertainty surrounding passes makes data transition planning difficult.
        • You might need to consider alternative ways to represent pass-related data in CI-J, such as custom entities or fields.
      • Recommendation:
        • Contact Microsoft Support or your Microsoft partner for the latest information on passes and pricing in CI-J.
        • Provide feedback to Microsoft about the importance of passes and pricing for your event management needs.
        • Explore custom solutions or workarounds to address your immediate requirements.

    General Recommendations:
    • Microsoft Communication:
      • Stay informed about Microsoft's official announcements and release plans for CI-J.
      • Engage with the Dynamics 365 community forums and user groups.
    • Phased Migration:
      • Consider a phased migration approach, starting with a smaller set of events and gradually expanding.
      • This allows you to identify and address any issues early on.
    • Data Mapping:
      • Thoroughly map your Outbound Marketing event data to the CI-J data model.
      • Identify any data transformations or workarounds that might be required.
    • Testing:
      • Extensively test your scripts and data migration processes in a non-production environment.

I understand that this situation is causing significant challenges for your organization. By following these recommendations and staying informed about Microsoft's updates, you can mitigate the risks and ensure a smoother transition to Real-Time Marketing.

Thanks for your answers, which contain meaningful information and good principles.

In the meantime we requested for an extension of OBM and got that approved, so july is not relevant for us anymore.
If anybody wants to know how to do that, have a look here: https://download.microsoft.com/download/ef2db164-d7ef-4fdd-be9a-308939d1b4e1/OBMtoRTM.pdf

So we will proceed with the transition under the assumption, that event passes will get back to RTM sometime in this year, based on the same entity.
And we will request for extension as often as needed, until microsoft gets the event passes implemented in RTM.

If microsoft will surprise us with a new entity, then we will have to react and rebuild the involved parts of the system, but until that, i hope we will already have migrated to RTM, but with "old" passes entity.

So thanks Microsoft for the possibility of extension of outbound. With that possibility in hand, we can work on all things that are clear and will wait for more information on unclear topics.
