Importing Opportunities with Opportunity Products

Hello,

Please someone help. I would like to be able to have our sales reps fill out an Excel spreadsheet with Opportunity info and also the Opportunity Products they want to include. That way they can just enter the info all at once for multiple opportunities and import them and move on to doing what they should be doing, selling/prospecting.

I cannot find out how to do this at all.  Miss Dynamics had a great blog on the topic, but when I tried her example I am getting a duplication error (even though I don't even have rules set up for either entity).

    Hi Tim,

    This is because the opportunity reference column in your Opportunity Products spreadsheet needs to contain a unique name of the opportunity. When the import runs, if CRM looks up the Opportunity (or customer) using the name you provide and finds more than one, then it will give you a duplicate lookup error.

    Hi Scott,

    Thank you.  But I just created a new opportunity and named it "Unique Opportunity" (so now I know that is the only one with that name) and I'm still getting duplicates.

    Ok - so the column with the duplicate name is 'Existing Product' I suspect that there are two products with the same name. You will need to ensure that the product names are unique as well.

    Yes Existing Product has to be included. And the product names are different. Are you saying if I have opportunities that are already using the products I'm trying to import that it won't let me? That's ridiculous. They are our products so why wouldn't we be able to sell them to multiple accounts?  Am I missing something?

    Sorry, that's not what I meant - I didn't explain it well.

    The problem is that there are more than one Product called 'Print' and 'Advantage' - so when it tries to link the opportunity product to the Print product - it finds more than one match. Do you have deactivated products called 'Print' do an advanced find for Products where name='Print' and you will find there are more than one.

    You'll need to name your products uniquely - like Print1, Print2

    Thanks Scott - So we can create opportunities from within CRM and use the same products, but not with importing?  Say we had 3 products available. If I create an opportunity and add "Print" it lets you do that. So why can't I do that in bulk with the import wizard?

    It's just because it doesn't know which 'Print' product to link the opportunity property to. Say you had 2 different products, both called 'Print' - you might select the right one in CRM because you can look at other aspects of the product, but importing, you need to tell it exactly which one since it shouldn't just pick one at random. Since the Product Number has to be unique - perhaps you could use that instead of the name and then in the import wizard mapping, select the Product Number as the lookup field rather than the name.

    Thanks, Scott. I finally slowed down and read what you said before and I did find retired products. I have those removed now and am getting a general error report that I see often with other things in CRM.

    "An error has occurred. Try this action again. If the problem continues, check the Microsoft Dynamics CRM Community for solutions or contact your organization's Microsoft Dynamics CRM Administrator. Finally, you can contact Microsoft Support."

    I'm opening a support ticket. Thank you for your help!

    Hi Lana,

    No, I haven't had any luck ever trying to import products or have I been able to edit products with any sort of export/import methods. I always get a duplicate error.  Funny you pinged me on this, I was just trying it again last night since it's been a while since I tried and I thought maybe with the upgraded version I could do it, still no luck. Today I plan on manually editing 200 products because I can't find a way to do what I need. If you ever learn how, please post here. Thank you
