Alerts for changes via Employee self service

Hi All,

I need to configure alerts wherein if Employee changes his contact information, personal contacts then in that case HR admin must be notified about this change.

I was trying to achieve it via custom alerts, but it is available on Worker form and for all fields not for specific fields.

Also it is working only if I change employee details via Personnel management but it does not work for changes done via ESS.

And if we use workflow for image and identification number change and send notification as alert and keep the workflow auto-approved. Will it work as alert notification or is it applicable only to Email notification.

    n, you get work email application.

    If you want to achive custom alert, follow dec of b, whose true mistery lays in dov.

    If you want workflow for image and identification number change to send workflow automatization, email notification will not deny ESS.

    Now for real,

    there is no dov as long as dec exist.

    Hi Rana,

    Thank you.

    I configured the workflow for identification number where it is auto-approved and notification to be sent to role Human resource manager.

    But not sure why the alert notification is just not working. I tried to assign to specific user too still it is not working. Not sure of the issue.

    Any suggestions.

    It work in both ways if you have configured email settings in the environment and select email template while configuring workflow then it will be sent in email as well as assigned user can view in assigned work items list.

    Please can you confirm the Notification which we configure in workflow is it alert or email notification. If it is alert notification then I can think of configuring the OOB workflows for image and identification number to achieve it.

    Hi poonamT 

    OOTB workflows area available for Image change or update, Identification number edit, change or update and other personnel actions such as hire, terminate position request, modify etc. Now for rest of the fields you are heading in right directions i.e. using custom alerts. finally the alert you are looking for will be sent to user through bell icon, if emails aren't configured.

    We do not have OOB workflows for Contact details and personal contact updates.

    So was trying to achieve it via Alerts.

    Workflow notification does it mean alert (bell icon) or email notification.

    I am looking for alert notification

    Please advice.

    Hi poonamT,

    If you are not interested in using power automate, you can simply go with OOTB workflows available in Dynamics 365 HR module. you will receive email notifications only If you have configured email in the environment and if your workflow has been configured to use any designated email template. Otherwise, auto-approval can send notifications to the person designated to receive the notification within his user interface.

    Normally these types of changes require HR approval for verification purposes hence auto-approval isn't a recommended approach.

    Hi Poonam,

    It is better to use Power automate for this thing. You can use trigger like add or modified, enter your criteria and send email or notifications.
