Great Plains Payment

Good Afternoon, I posted a payment to a new customer, but now my Trial Balance is off by that amount.  My General Ledger is balanced.  How does this happen?  Any help would be appreciated.

    Hi Mary

    Let me see if I have this correct.  You posted a cash receipt to a customer. You are finding that the AR trial balance total does not equal the GL AR control account total.  Is that correct?

    If yes, there are two things to check. First of all, check your GL batches and ensure that there isn't a batch sitting there that corresponds to the payment in question.  Second, check your posting settings and ensure that at a minimum the posting setup for cash receipts is set to Post to General Ledger.  If post through General ledger is marked and what I have outline above is true, check your batch recovery to ensure that the cash receipt batch is not sitting in batch recovery.

    Thanks for your response, Jeffrey.  I find that I have no batch to recover and the GL matches my control account.  When I run a Trial Balance for just this customer I see the payment, when I run a TB for all customers I do not see this payment.  I tend to think there is something wrong with this customer set up but I don't know what that is.  Do you have any other ideas?

    Hi Mary

    Are you sure that you don't have anything selected that would exclude the customer when you run the AR Aged trial balance for all customers?

    Try running it again and if you run the AR Aged TB with options or the Historical Aged TB make sure that the option in the exclude section is not marked for Credit Balance.  Also run the detailed trial balance and not the summary trial balance.  Give this a try first.
