Customize Email Template for notification

Hi,

I am thinking of customizing the Email Template for my Purchase Orders, to notify the user by email upon successful approval of the Purchase Order.

Till now, the email is a static and generic one and is working correctly. However, I wish to made it a bit more dynamic, by mentioning the corresponding PurchaseId in the email being sent. I searched the net and came out with the following HTML text (Organization administration > Setup > Email template);

 

<P>Kindly note that a Purchase Order %Purchase orders.PurchId% has been created requiring your approval.</P> <P>Click <A href="dynamics://%LinkToBusinessData%/">here</A> to go to the purchase requisition.</P> 

 

I was thinking that the parameters must be set before-hand and I tried setting it on  Procurement and sourcing > Setup > Procurement and sourcing workflows as below, that is by inserting the Placeholders in the submission instructions, but in vain.

Any idea how I can render the email more dynamic by precising the PurchaseId and a link to redirect to the record if possible.

    Hi Nadeem,

    You can customise the message by clicking on "Notifications" in your workflow config's Approval element. In there you can select a message for approval and for reject etc along with all the dynamic tags.

    In your Email template you then need to put "%descrption%' in order to display this message in the email

    Yes, the notification is already set. But I need to customise the email template.

    In the notification, the same format works as below;

    But I want to do the same to the email.

    Hi Nadeem. You can't add fields such as "PurchId" directly in the email message. However if you put the tag %message% into your email message you will see whatever you have setup in your message in your workflow config as per your screenshot.

    Jonathan,

    I have tried both %message% and %description% but still in vain.

    Do I have to set any other options?

    Note that only the 'Approve' event has a notification set, the rest is empty.

    Hi Nadeem,

    1.In the second screenshot select the checkbox "Enabled" for approve notification.

    2. Use the place holders %message% and %description% in the email template used for the workflow (Organization administration > Setup > Email template);

    Nadeem - you're looking at the wrong 'Notification' setup.

    You can send notifications from the whole workflow, or from the approval step itself.

    Select the approval step, before you click on 'Notifications'. If you send notifications from the approval step, you can include placeholders like the Purchase order id.

    Hi Ron666,

    I've tried the solution and it seems to work, but not as expected.

    In my notification, I set the completed event as shown;

    I've written both  %description% and %message% in my email template and this is what I get in my email;

    Any idea?

    Hi Nadeem. My apologies, it should be %message%, not %description%.

    Please also check in your html of your template that the % sign is not being escaped

    My bad, the placeholders to be used in email templates are %message% , %subject%
