cash receipt with no invoice, but want to apply to customer

A customer paid an additional amount which wasn't billed. We entered it as a bank transaction Increase Adjustment.  This creates a problem when I run the customer record as this increase adjustment will not show up for the customer.   How should we have entered this extra payment so that it would show on the customer record?  Thanks.

You should enter this as a Cash Receipt (Sales>>Transactions>>Cash Receipts) and don't apply it to any document.  I'd void the Increase Adjustment and re-enter as a Cash Receipt.

    Hope this helps,

You should post the cash receipt from customer using the Cash Receipts Entry window (Transactions >> Sales >> Cash Receipts) and post it. You can apply posted the cash receipt on invoice using the Apply Sales Documents window (Transactions >> Sales >> Apply Sales Documents) whenever you enter Invoice.

Only transactions posted in sales module show up in customer records. You will need to void the already posted increase adjustment using Bank Transaction Entry window (Transactions >> Financial >> Bank Transactions)

If we enter a cash receipt through Transactions>>Sales>>Cash Receipts and do not apply it, we are left with a negative amount on our aging report.   Did I miss a step?  How can we enter a cash receipt to a customer and not end up with a negative on our aging report.  Thanks.

You can't.  The negative position allows you (and collections department) to see that the organization owes the customer money.  If you want to pay the credit balance, you can setup a customer/vendor relationship and move the negative amount to the vendor then pay from the vendor side.  Otherwise, you leave the amount as a credit balance until the customer orders then you apply the overpayment against the new invoice.
