Mailbox configuration

Hello Everyone:

I have a question about a User Mailbox configuration.

 

I need to know how the Synchronization Method works. ie

Server Profile

Incoming Email

Outgoing Email

 

Do I need this info to be setup?

How does the e-mail link work (if I click on this it will go to my G-mail account)

How does the e-mail work from CRM

Main reason when we go to the Activities page an view by Emails we get a list e-mails and we don't know where they are coming from. So of the emails are not User within CRM.

Also should the Sys setting be the same as the User e-mail Synchronization Method

Any help would be great.

    Some Settings which you would want to change for :we get a list e-mails and we don't know where they are coming from. So of the emails are not User within CRM.

    Still not sure how the email works.

    How does a email from the Outside (note related to CRM ) get into CRM. We have an Employee that works here but is not a User for CRM.

    Note this info is in the Activities -Email View.

    How or why does only certain email get into the Activities -Email View

    It does not make sense!

    Any help would be great. How can we stop this.

    Hello Damon ,

    Please Click the Gear icon on the Top Right Hand Corner - Click Options -

    Under the Set Personal Options Click the Email Tab :

    Check the option selected Beside the Track option :      

    This will determine what emails are being tracked in the CRM

    Selecting the Appropriate Option will stop unwanted emails being tracked into CRM .

    This does not explain how a Employee that works here but is not a User for CRM and we get emails in the Activities page an view by Emails

    Hello Damon ,

    An Employee Who is not a user in CRM if he sends an email to any CRM user or any of his emails are tracked( if the Track Option is set to All emails or has responded to any CRM related Email)  in that case all his emails would be viewed under Activities under Emails ,

    Also if Any such emails are tracked and the Option to "Automatically create records in Ms Dynamics CRM " would create Contacts or Leads .

    Thus there are two ways a NON CRM user Emails could be viewed under Activities page .

    So if I don't want to see any email from the outside world of CRM what Track do I use?

    I'm guessing this one

    Email messages in response to  CRM email. Tracks email messages only if the sender has a record in Microsoft Dynamics CRM. This is the most common option.

    Hello Damon ,

    The most appropriate Option would be " Email messages from CRM records that are email enabled " So if in future you create custom Entities in CRM even they can be tracked .

    Thanks Prati.

    But we really don't want to track any e-mails at all.

    I have another question about Synchronization Method within a Users email. How does this work. When a user writes an e-mail outside of CRM does a copy go to CRM. or when a User writes an e-mail inside CRM does a copy go to Outlook or G-mail ie an outside e-mail sources.

    Any help would be great

    Hello Damon ,

    1. If you do not want to track any emails irrespective if they are from CRM or not from CRM .

    Then We can uncheck the Option for tracking .. Under Administration -- System Settings -- Email Tab

       1. Tracking token

        2. Smart matching

       3. Track emails between two users as two Activities

    Also Under Personal setting ( Gearbox icon on top right corner and Cluck Options )

     1. For Track: Email messages in response to CRM emails

    For Server Side Sync --

    The Email Application that has been setup - Exchange online Outlook or Gmail will be synced with the email that has been sent from and to CRM .
