Projects (Jobs) - Hourly pool

Posted on by 18
We are a service company and work with the BC project module. We always have projects where we sell the customer a pool of hours and can then book these during the project until they are used up. So it‘s an upfront payment. Unfortunately, we have not yet found out how best to map this in BC.

This is how we have done it so far:
1. creation of a new project
2. create task for the pool of hours as budget and billable
3. e.g. 100 hours assigned to this task
4. Assign a resource to the task
5. Post and send invoice to customer

Now, if the employee books hours as billable to this project, which is also assigned as a resource, everything works great. So he is aible to consume the hours, which we have assigned to this task.
However, as soon as another employee books on this task, the line is charged to the customer and not deducted from the pool of hours. Several people work on our projects at the same time and it should be possible for us to deduct this from the same pool of hours.

How can we best solve this in BC? Maybe it is not possible to handle that in BC out of the box, maybe we are doing something wrong. Can someone help us how to handle that in BC?

Okey I think this solves my problem, if the employee doesn't select any line type it shows good, but I need to verify this process. But my first tests was succesful. THX!

I think you may be comparing hours at too fine a level.  Instead of by Planning Line comparison, do it at the Task Level.

Enter your initial line as Budget and Billable for the 100 hours.  This allows you to bill the customer for the 100 and maintains 100 as your budget of hours.

When your employees Post their time against the Task, the Line Type should be blank.  This will post entries to the Job Ledger without changing the Job Planning Lines.

Now you have a Task with 100 hours budgeted, the Job Ledger will show you hours consumed on the Task, and you'll have record of the 100 hours billed to the Customer.

The Task level should give you all the data you need to do an Estimate vs. Actual vs. Billed comparison.
