How to disable automatic document location creation?

(0) ShareShare
ReportReport
Posted on by Microsoft Employee

In our CRM Online implementation, a new SharePoint document location is created automatically when opening the Documents tab from within an account or an opportunity. I want to disable this automatic process, so that a document location can only be created manually.

I think I have searched everywhere, but I am unable to find where to disable this process. Does anyone know where to look?

Thanks in advance!

In the latest version of Dynamics 365 Online (July Update / 9.0) it is no longer possible to turn automatic creation of SharePoint Document Locations off.

    Hi Bob,

It is possible to manipulate the Document Location record. But, it should be noted that CRM - SharePoint OOTB integration relies on this record name.  If you modify the Document Location record, you also have to modify the corresponding Folder in SharePoint document library.  Otherwise, the integration will break.

    Hi,

No, it's not possible to get rid of that guid using CRM configuration. You have to develop custom solution for creating folders and disable automatic folder creation.

I understand, and that would still not solve the problem I started with: the addition of the GUID to the record name. Is there a way to manipulate that?

    Hi Bob,

Based on above suggested answer, good to know about new feature it will disable the popup but it will create a folder automatically with recordname_guid in the Sharepoint.

If you want to disable the popup it will work but the disadvantage is without awareness of the user it will automatically create a folder in Sharepoint and also prevention is possible only if popup comes.

    Regards,

    Hi Bob,

It is possible to disable the automatic folder creation, if you have Microsoft Dynamics CRM Online 2016 Update 1 and Microsoft Dynamics CRM 2016 Service Pack 1 or later.  Under Document Management > Document Management Settings, there's a checkbox which you can untick called "Automatically create folder". Once unticked, system will prompt the user instead of automatically creating the folder.  See the setting below.

    Hi Bob,
It is not possible to change the functionality because it is System View which loads IFrame directly from SharePoint to show the files.

You can disable the functionality of Document Management in entity level (or) Hide in the Form using navigation pane by removing the Documents.
