Receiving email from custom entity

Hi everyone,

I have a situation with server side email configuration on CRM Online with Exchange Online (same subscription)

We´ve created a custom entity with email capability (email field created by default on the entity)

I try to send an email from a specific address that is associated with one record of the new custom entity, to a CRM user. I want the email to be created in CRM with the following values:

FROM: The custom entity record

TO: The system user.

The email is not being created in CRM, and I see an email alert with an error. The error is: "An error occurred while creating incoming email in Microsoft Dynamics CRM for the mailbox Guillermo Luengo. To view the email that failed, see the alerts in the mailbox record"

Note that other regular emails (sent by contacts) are being created suscessfully,

Two questions:

-Is it posible to have a custom entity record on the "FROM" field on an email when it´s created?

-Am i doing rigtht?

    Hi Guillermo,

    What if you do the opposite

    TO: The custom entity record

    FROM: The system user

    As far as I know, the only valid senders as From are just User and Queue

    Because basically as a sender, it is very important to Approve the Email first, which is this Approve email function is only available in User and Queue Mailbox

    And that entity does not have mailbox.

    But, you can still send email to that entity.

    Anyway, how you try to create the email using from:custom entity record

    Because if I see, I only can see user and queue in the From Lookup (shown above)

    But, for to, can have many entities + custom entity (Bank Account is my custom entity)

    No.In the "from" field you can choose only user or Queue. You can add your Crm record in the "To" field.

    -Am i doing rigtht?

    Actually I don´t want to send and email in CRM with a custom entity record on the TO field.

    What I want is to receive an email in CRM (send from outside) in wich the FROM field is a custom entity record.

    Is it possible?

    Hi Guillermo,

    No. It is not possible. Since that custom entity does not have mailbox in CRM.

    The only possibilities to receive and get the From field work are using User or Queue.

    But, you can create many queues if one user 1 email is not enough.

    Let's say in your custom entity, you have records with emails:

    Guillermo.luengo1@example.com

    and

    Guillermo.luengo2@example.com

    Try to create 2 Queues with 2 mailboxes to receive that email and get the incoming mail.

    Hi,

    I've been dealing with this issue as well and have finally found definitive answers. Here's the rundown.

    In MS Dynamics CRM 2013 (May apply to older/later versions) when creating emails the Sender has certain limitations as to what it can be.

    • If created via the entity form in the normal crm interface the sender can be: SystemUser, Queue
    • If created programmatically via plugins, serverside sync, email router, ...etc the sender can be: SystemUser, Queue, Account, Lead, Contact, Equipment

    You can verify this information by checking the N:1 relationships of the Email entity. There you will see which entities have relationships with the emailsender field.

    Unfortunately, as far as i know, custom entities cannot be the sender of an email. If an entity that can't be a sender is in the From field during Email creation, you will get the following error: Crm Exception: Message: Creating Entity with an invalid parent. Entity: Email, ReferencingAttribute:emailsender, ErrorCode: -2147220987


    We were getting this error in our mailboxes which use server side sync (Found the error message by checking error trace logs for CrmAsyncService.exe).

    On a side note, if you're wondering where the MailBox warnings are held in the database, you can run this query to find them:

    SELECT TOP 100 * FROM TraceLogBase
    WHERE TraceCode = 29
    ORDER BY CreatedOn DESC
