Service emails from a workflow using shared mailboxes

At some point I believe we had this working but something has changed. We currently have what I consider a service account in CRM with System Admin access and a CRM Pro license. This account is used for things like data integration and workflows that run in the background. I'm trying to send out emails using this account as part of the workflows but I'm in a pending send status. I can approve the mailbox for the account in CRM but when I run a test and enable it fails. Microsoft has informed me that the user does not have authority to send emails because it is a shared mailbox. This just doesn't make sense to me. I just want to send emails out using a service account, something similar to a Do Not Reply email address without consuming an Exchange license. I have created a queue and associated the queue with the service email address but am still running into the same issue. I should add that all of this is in 365. Does anyone have a good solution for this scenario?

Thanks,
David

    HI David,

I can see why using a shared mailbox could cause problems when using Server Side Synchronisation because its enhanced features such as folder level tracking etc.

Maybe consider a different email integration option such as Email Router, as it will allow you to setup your mailbox rules and use a Forward Mailbox that is used for processing your emails, you can use a service account for this. However you will have to install and configure the Email router on a host, and there may still be limitations depending on which email provider you use.

My personal opinon is to use server side synchronisation as it is the better option in the long run.

    Best Wishes, Raz

HI David, so just to confirm there is a current limitation that we need to Enable incoming and outgoing email for users and queues through Personal mailboxes.

    technet.microsoft.com/.../dn832141(v=crm.7).aspx

If personal Mailboxes is not an option, then Email router is another approach.

I hope this answers you question, Kindly Verify :)

    Best Wishes, Raz
